Shire GCRM Business Operations Specialist in Bannockburn, Illinois
The Business Operations Specialist will provide administrative and operational support for the GCRM department. This individual must be a self-starter able to work independently, multi-task, think strategically, problem-solve and thrive in a fast paced environment. Responsibilities will include travel and expense management for several Vice Presidents and team members, handling day-to-day operations such as billing and finances, and serve as technical expert on various systems and software.
Provide support to the GCRM Leadership team and work closely with the Executive Administrative Assistant to the Senior Vice President on project management, event coordination, and complex meeting planning.
Coordinate travel arrangements for both domestic and international travel including organizing travel schedules, meetings, and all pertinent logistics.
Troubleshoot issues related to equipment and software and train team members on best practices for various GCRM technical solutions.
Create and prepare elaborate presentations, intricate spreadsheets, and confidential correspondence.
Manage staffing activities such as onboarding, new hire departmental training, and space management.
Handle financial tasks including invoice entries, responding to vendor/supplier inquiries, and assistance with budget management.
Represent the GCRM team on numerous projects and interface with internal clients, external vendors, and high level executives of the organization.
Understand organizational policies and procedures to ensure appropriate actions steps are taken when handling tasks.
Develop and maintain multiple intranet sites and SharePoint sites.
Demonstrated proficiency with computers/systems including, PowerPoint, Word, Excel, Sharepoint, and mobility applications.
Ability to multi-task, problem-solve, and exercise independent judgement.
Excellent oral and written communication skills in order to effectively communicate with internal and external clients and high level executives.
Strong organizational, project management and time management skills.
Must be detail oriented and maintain the highest degree of accuracy.
Displays a sense of urgency and meets project deadlines.
Shows discretion when handling confidential data.
Thinks strategically, sees the big picture and understands impact on the business and the company.
Ability to learn and adapt quickly to new tools, systems, and changing environments.
Professional and positive work ethic.
5+ years of professional administrative or operational support experience.
Experience supporting and working with senior leadership.
Bachelor’s degree preferred.
Financial background/knowledge preferred.
