About the Role:

As a CBRE Facilities Coordinator, you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete.

This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Facilities Managers regarding all repairs and investment plans.

What You’ll Do:

  • Plan, coordinate and supervise the annual self-delivered and contracted PPM regime in a safe, effective, efficient manner.

  • Assist in personnel clearance for entry into client sites.

  • Manage building maintenance for soft and hard services such as cleaning, pest control, landscaping, waste collection, M&E, etc.

  • Create work orders and assigns to technicians, contractors, and vendors. Communicate and verify completion and quality of work and assists management in resolving problems.

  • Ensure maintenance is carried out in line with procedures, using the permit to work system where applicable.

  • Ensure work orders issued are closed in time with customer satisfaction. Maintain and check for accuracy on completed paperwork submitted by site team and vendors. To send to client for endorsement of base services.

  • Provide support to vendors on the work order and billing procedures. Process purchase orders, delivery orders and invoices.

  • Provides technical advice and support to site team.

  • Preparation of all necessary maintenance reports, procedures, incident reports accurately and on time.

  • Assist in budget forecast, preparation, attending meetings, preparation of materials necessary for the meetings and minutes of meetings.

  • Conduct inspections on the facility and compile inspection findings. Act on findings identified.

  • Collate and submit monthly utilities consumption data (i.e., Water and Power consumption).

  • Source for quotations for any office or maintenance supplies/spares.

  • Familiar with buildup of Schedule of Rates (SOR).

  • Conduct toolbox meeting to site team.

  • Request for PO (Purchase Order) from CBRE Finance HQ.

  • Perform soft and hardcopy filing.

  • Work with and support other members of site FM and cleaning team.

  • Other adhoc duties as assigned.

What You’ll Need:

  • Minimum Higher NITEC with 5 years of working experience or Diploma in a relevant field with 2 years of working experience.

  • Ability to follow basic work routines and standards in the application of work.

  • Communication skills to exchange straightforward information.

  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

  • Strong organizational skills with an inquisitive mindset.
