Responsibilities: • Seeking an Administrative Assistant with experience answering a multi-line phone system. This position will require interaction with all levels of management and clients on a daily basis. Providing a professional and welcoming environment for our clients is of the utmost importance. Support departments with day-to-day tasks and projects as assigned. The general office hours of operation are 8:00 AM – 5 PM / Monday – Friday. Requirements: Project Assistance • Project insurance verification and data entry • New projects start up tasks • Issue NOIs, work orders, and Master Service Agreements • Create Document/Drawing Logs for Contracts • Create/Update Drawing Sets using Bluebeam Software for all bidding construction projects • Update contact information throughout Bid Database Front Office • Welcome guests, courteously and efficiently answer multi-line telephone system • General clerical duties using Microsoft programs • Receive and distribute incoming and outgoing mail UPS/Fed Ex/deliveries and packages • Keep a clean and neat front lobby/kitchen/meeting rooms and common areas Accounting • Accounts Payable assistance processing invoices and credit card receipts • Confirm/Verify preliminary information for Sub’s vendors/suppliers Qualifications: • High School Diploma (or equivalent) • Prior office receptionist experience handling multi-line phones • Excellent verbal and written skills • Strives for personal and organizational excellence • Uses time effectively • Demonstrates attention to detail • Proficient in Microsoft Office Programs • Available to work 40 hours per week • Proficient in the use of office equipment • Able to sit for long periods of time • Pleasant attitude and telephone voice • Ability to handle multiple tasks at one time • Excellent track record of punctuality, dependability and work quality Compensation: • Competitive pay depending on experience.
