Our Body Shop is a vital part of our dealership, dedicated to repairing and enhancing vehicles to the highest standards. We are seeking a meticulous and proactive Body Shop Office Administrator to support our body shop operations and contribute to our commitment to excellence.

The Body Shop Office Administrator will manage the administrative functions of our body shop, including customer service, scheduling, and office organization. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  • Customer Service: Greet and assist customers, handle inquiries, and provide updates on repair status. Ensure a positive customer experience from initial contact through to the completion of repairs.

  • Scheduling: Coordinate and schedule repair appointments, manage work orders, and track job progress to ensure timely repair completion.

  • Administrative Duties: Maintain accurate records of repairs, parts, and labor. Process invoices and handle billing inquiries.

  • Communication: Act as a liaison between customers, body shop technicians, and other dealership departments to ensure smooth workflow and effective communication.

  • Office Management: Maintain the office's organization, manage supplies, and ensure that all administrative processes are followed accurately.

  • Data Entry: Enter and update information in the dealership's management system, including job details, customer information, and parts inventory.

  • Compliance: Adhere to dealership policies, procedures, and industry regulations to ensure all operations are compliant.

Qualifications:

  • Experience: Minimum of 1-2 years of experience in an administrative role within an automotive or body shop environment.

  • Skills: Strong organizational and multitasking skills. Excellent communication and customer service abilities. Proficiency in office software (e.g., Google Suites) and experience with dealership management systems such as CDK and CCC. Ability to open, close, and book service ROs. Knowledge of submitting payroll.

  • Education: A high school diploma or equivalent is required.

  • Attributes: Detail-oriented with a strong ability to manage time effectively and handle stressful situations calmly.
