For provisional appointment, candidates must meet one of the following minimum qualifications: Be a current NYS Department of Health employee with one year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. In addition, the preferred candidate has the ability to coordinate multiple activites; is comfortable using various computer applications and is a highly effective team member.Preferred Qualifications: The preferred candidate will have experience working with Executive staff, excellent verbal and written communications, proven ability to collaborate well with internal and external stakeholders, and be proficient in Microsoft Office Suite products.

Duties Description The position is in the Division of Data Services and Analytics (DDSA), within the Office of Health Insurance Programs (OHIP). Day to day tasks include:• Answers telephone and gives information to callers, takes messages, and transfers calls to appropriate individuals. • Creates, maintains, and enters information into spreadsheets and databases. • Maintains scheduling and event calendars. Schedules and confirms appointments for clients, customers, or supervisors.• Support Onboarding of new team members and recruitment activities • Uses various information technology applications such as email, database, spreadsheets, and word processing applications. • Coordinates conferences, meetings, or special events, such as luncheons or graduation ceremonies. Makes travel arrangements for staff. Creates and/or submits travel expense reports for staff. • Composes, types, and distributes meeting notes, correspondence, and reports. • May take meeting minutes, and/or prepare material from dictation.
