In this role, you will be responsible for supporting and handling complicated, sometimes confidential, and administrative activities to relieve a local/global organizational unit (manager and employees).
This position is based in Amsterdam and reports directly to the Head of Human Pharma MIDI.

YOUR KEY RESPONSIBILITIES
Complex calendar management with own decision-making competence.
Travel management – booking business trips & contributing to the planning and monitoring of various budgets (i.e. personnel, travel) and its controlling.
Ensuring the flow of targeted communication on mostly organizational, administrative & personal matters (i.e. create & send newsletters/announcements).
Ordering of materials & (work) equipment as well as shipping of documents and materials in compliance with regulatory requirements.
Organization/ facilitation of (complex) meetings, including content management (internal, local BI participants), taking care of agenda, hotel booking, logistics, dinner, flight transfers, request quotations, in case of F2F events hands on work to prepare location/welcome colleagues etc.
Support handling of remote meetings via MS teams using chat rooms, whiteboard, including minute taking for important meetings.
Working with different systems to create POs (via WeBuy), create vendors (via MDM), following up on Open PO’s numbers with budget responsible, in particular supporting invoicing process, managing access rights, archiving etc. for the functions (Records Retention and cleansing).
Perform diverse and administrative tasks to support the team (i.e. document management, contract management coordination, compliance and PMO activities, etc.)
WHAT YOU SHOULD BRING TO THE TEAM
Bachelor’s Degree in Business Administration or similar working experience.
Minimum 5 years of experience in an assistant role or similar (e.g., organizing events, coordinate projects between multiple parties, experience on financial tasks, etc.).
Excellent command of the English language.
Experience in operational planning and in an international environment.
Experience/training in project management.
Process orientation and digital savvy – proficiency with MS Office applications.
Attention to detail and accuracy.
Strong communication skills: you are outspoken, cooperative, able to work with people and not afraid to challenge others if it comes to get things done!
Flexible, agile and able to deliver efficient and effective support in a continuously changing environment.
Ability to prioritize & resilient.
Service oriented mindset: helping and supporting colleagues is a big part of this role. With your positive and warm mindset, you create a good spirit around the office.
