Job Summary

The Department of Internal Medicine, comprised of 13 unique divisions, is seeking an Administrative Specialist to support local human resources (HR) functions, liaising with Michigan Medicine HR while ensuring efficient and effective processes related to HR advisory work for all Advance Practice Provider (APP) including new hire credentialing, re-credentialing, CSPDs, APP licensure, internal transfers, credentialing changes, Cornerstone enrollment, misc. forms and processes. Under the direct supervision of the Director of Administrative Operations for the Department of Internal Medicine, the Administrative Specialist will be responsible for APP administrative and human resource departmental functions as described below.

Responsibilities*

Serve as the first point of contact for all Advance Practice Provider (APP) related matters for Internal Medicine divisions; provide cross coverage and backup support to other team members as needed. Daily partnering with divisional management, including staff and faculty managers, as well as HR Business Partners is a core job responsibility.

  • Credentialing Lead for Department of Internal Medicine (13 Divisions and 200+ APPs.)

  • Lead for all incoming Internal Medicine APPs. Initialize the credentialing process. Partner with Medical Staff Services ensuring candidate requirements are met.

  • Preparation of instructional communication with appropriate documents for new hire, transferring and current APPs. Provide guidance if needed.

  • Provider Enrollment for all incoming APPs

  • Prepare communication and documentation for requests of additional privileges and/or adding a new Division.

  • Lead in streamlining consistent privileges across the Hospital Medicine APP Network in order for cross coverage in all areas (MFH, MHP, MSSU and MPS) within the division, contributing to improved patient care and compliance.

  • Lead for urgent privileging and division requests.

  • Maintain tracking system to ensure that all Internal Medicine APPs are in compliance meeting necessary deadlines for the Credentialing Committee and ECCA.

  • Licensure notification and tracking of APP license/Certification/Board renewals.

  • Lead for the Department annual NP CSPDs, collaborating with 13 division contacts, ensuring that all prescribing NPs are in compliance.

  • Year-end evaluation (of the CSPD process) determining areas of needed process improvement.

  • Ongoing evaluation and development of process improvement in order to streamline operational credentialing timelines, electronic signatures, processes and paperless documents.

  • Collaborate with key stake holders on identified problem areas.

  • Develop new strategies aimed at process improvement, with independent decision making.

  • Propose solutions to management

  • Collaboration with Internal Medicine Marketing in the development and revisions (as needed) of the Internal Medicine credentialing webpage

  • Train Division Staff on Credentialing processes

Utilizing excellent judgment, diplomacy and problem-solving skills contribute to human resources decision making and corresponding processing for regular and temporary staff including but not limited to:

  • Advise Division Administrators on Human Resource policies and procedures providing interpretation and clarification.

  • Train new and existing Business Managers and staff on Human Resource processes, policies, and procedures.

  • Create and modify reports needed for analysis in regard to equity, compensation and reclassification

  • Equity reviews - run appropriate report(s), prepare analysis for determination and recommendation of fair and equitable salary ranges.

  • Provide backup data and incumbent comparable information.

  • Reclassifications - run appropriate report(s), prepare analysis/justification for appropriate title, and pay zone, research qualifications, and recommendation of fair and equitable salary ranges.

  • Prepare and submit Job Postings assuring appropriate title, language and pay zone. Advise hiring managers on candidate qualifications, salary recommendations and RIF applications.

  • PAR transactions (Termination, ADD DIFs, DBE changes, tuition reimbursement, reclassifications, telecommuting agreements, job data changes and RIFs).

  • Maintain tracking system

  • Merit Program when needed.

  • Consult with Business Managers on employee and labor relations as needed.

  • Resolve payroll issues.

  • Create reports as requested by the Administrative Director

Required Qualifications*

Senior Level:

  • Bachelor's Degree or equivalent combination of education and experience.

  • 5 years of Credentialing experience for Advanced Practice Professionals (APP)

  • 10 years of Administrative or Human Resource experience

  • Exceptional interpersonal skills and the ability to work independently.

  • Exceptional organizational, written and verbal communication skills.

  • Ability to work and build professional relationships with faculty and staff at all levels

  • Solid understanding of Michigan Medicine Policies and Guidelines

  • Advanced knowledge of privileging and the required processes for APPs with the ability to make decisions independently

  • Ability to create and modify reports, documents, and spreadsheets

Intermediate Level:

  • Bachelor's Degree or equivalent combination of education and experience.

  • 2-3 years of Credentialing experience for Advanced Practice Professionals (APP)

  • 5-9 years of Administrative or Human Resource experience

This department employs a remote work first policy. Office and meeting space within the health system is available as needed and in-person work across Michigan will be occasionally required, but remote work is supported and encouraged as appropriate.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
