Summary

The Department of English Language and Literature is seeking a highly motivated and organized individual to join our team as a Meeting and Events Coordinator. This position will support the department chair in a range of responsibilities. As a member of the chair's administrative team, you will report to the Chief Administrator and will work with department colleagues across an array of roles to provide proactive and flexible support for the chair's initiatives. The ideal candidate will possess broad administrative support experience, strong knowledge of university policies and practices, and successful event coordination experience both in-person and virtual. The position works directly with faculty, graduate students and administrators, as well as the invited guests of both departments; an enthusiastic, welcoming, and professional personality is critical. We are seeking an individual who can manage multiple projects and who has graphic design skills.

Responsibilities*

Key responsibilities include, but are not limited to:

Event Planning : Facilitate planning of a range of virtual and in-person events from departmental conferences to smaller lectures, colloquia, and seminars. Work closely with faculty, graduate students, and staff to plan for catering, hosting, venues, travel, and other details. Communicate with guest lecturers regarding technology arrangements, itineraries, and travel / hotel arrangements.

Event Logistics : Keep department calendars up to date with events. Manage event registration. Arrange travel including airfare and ground transportation, if needed. Organize hosting including catered events, dinners and receptions. Reserve venues, coordinate on-site arrangements and room set-up. Prepare itineraries for speakers. Assist with AV/computer needs for events. Communicate details effectively with organizers and guests. Coordinate any evaluations of events.

Event Budgeting : Assist with budget preparation and projections, track funding and monitor event budgets. Coordinate all financials with the appropriate business office. Manage PCard expenses; facilitate honorarium processing and reimbursements for guest lecturers. Provide annual orientation on event expenses and coordination processes for graduate student workshop organizers.

Event Communications : Produce all publicity for events including high quality posters, fliers and invitations. Oversee website updates for events. Produce conference handouts or other necessary materials as needed. Oversee the production of the department's annual newsletter. Coordinate Giving Blue Day. Leverage social media and Google tools for events, updates and maintain publicity email groups. Work with media outlets such as the Ann Arbor News, Ann Arbor Observer, MLive, etc. Work with faculty and staff on general departmental promotional brochures and materials.

OTHER

Attend and actively participate in departmental and staff meetings. Participate in professional development opportunities including the LSA Events and Communications Resource Group regular meetings. Maintain UM policies and procedures and best practices from LSA for all events.

Required Qualifications*

High school diploma and 3 or more years of progressively responsible events coordination experience; experience planning a variety of types of events; ability to work as a member of a team; mastery of high quality customer service skills; ability to produce accurate work and attention to detail; ability to prioritize multiple projects simultaneously and successfully meet deadlines across; effective interpersonal skills; graphic design skills and ability to make high quality fliers and posters; demonstrated commitment to contributing to a diverse, equitable, and inclusive work environment.

Desired Qualifications*

Knowledge of UM and LSA; competency using graphic design software; knowledge of AEM, UM DropBox, Google Docs & Calendar; experience planning and arranging events of various sizes in an academic setting. A successful candidate will be exceptionally flexible, a critical thinker, comfortable with large- and small-scale change, and have an eye for process improvement.

Additional Information

The salary range for this position is $42,400-$53,000. A higher salary may be offered based on equity and the select candidate's experience. Currently, the English Department is following a hybrid schedule. The person in this position will have the opportunity to work remotely two days per week during the academic year (subject to change). Work hours are M-F, 8:00-5:00 pm.
