Job Summary
Within the office of the Associate Dean for Graduate & Professional Education (ADGPE), this position will work closely with key faculty and staff members of the ADGPE team to assist in planning, scheduling, managing, and executing a suite of events and programs related to the strategic vision for graduate education within Michigan Engineering. This position will also provide support for event and program budget tracking, expense reconciliation, and will manage the calendar for the faculty Director of Graduate Degree Programs within the ADGPE office.

Responsibilities*
Event Planning and Execution (50%)
Assist in the administrative aspects of planning and executing a suite of programs and events with strategic importance to graduate education, which broadly includes tasks such as coordinating facility rentals and room reservations, scheduling meetings, parking, catering, etc.
Develop and maintain detailed event schedules for coordinating with internal and external partners
Staff events as needed, serving as on-site contact for internal and external partners and vendors
Coordinate the creation and distribution of print and digital materials for events as needed, such as name tags, place cards, online schedules and agendas, etc.
Manage program and event communications, such as announcements, invitations, and RSVP forms
Update event-related information on appropriate websites and social media outlets
Prepare post-event surveys with input from internal and external event partners, as appropriate
Budget and Finance Support (25%)
Manage and track budgets and expenses for a suite of graduate student programs and events
Reconcile expenses following events, ensure vendor payments are submitted in a timely manner, and bill event partners for expenses as appropriate
Other Administrative Support (25%)
Manage the calendar for the ADGPE office's faculty Director of Graduate Degree Programs
Respond to phone, email, or in-person inquiries about events
Monitor and manage use of office inventory such as paper stock, badge holders, and gift items, and reorder when needed
Required Qualifications*
Bachelor's degree and two to four years of relevant administrative experience, such as event planning, project or program management, or similar
Strong attention to detail, ability to multitask and consistently meet deadlines
Demonstrated ability to interact professionally and effectively with diverse groups of faculty, staff, and graduate students
Experience with developing, tracking, and managing budgets
Availability and willingness to occasionally staff events on weekdays outside of standard working hours (8 a.m. to 5 p.m.) as well as weekends
Demonstrated proficiency with both Microsoft Office and Google Suite
Strong critical thinking and organizational skills
Desired Qualifications*
Experience with applications such as Adobe Photoshop, Illustrator, or other digital imaging and editing software
Experience with website maintenance

This position will also require travel to locations on- and off-campus and will require work on occasional evenings and weekends.
