Job Summary

The Manager for Community and Presidential Events assists the Assistant Vice President of University Events with the planning, development, implementation, and evaluation of various large- and small-scale presidential events, including dinners, parties, meetings, receptions, VIP suites at sporting events, groundbreakings, formal ceremonies, and other events/projects hosted or supported by the Office of the President. The Manager will also assist in the planning of additional University events.

Essential Duties and Responsibilities

  • Plans and executes events involving the President, ensuring all aspects of presidential-level events are in line with the President’s vision, including room arrangements, staffing, décor, equipment, marketing and communication, parking and transportation, VIP handling, etc.

  • Assists as need in planning other University events.

  • Assists in managing fiscal responsibility for events related to the purchase and procurement of marketing materials, floral, décor, catering, etc.

  • Solicits bids from vendors and facilitates appropriate contract routing.

  • Attends presidential and other events as needed to ensure smooth operations, assist with logistics, troubleshoot, and serves as liaison between facilities staff, event hosts, and guests.

  • Enhances guest experience by providing high-level hospitality and using great attention to detail.

  • Assists with the coordination of various communications from the President’s Office including the creation, proofing, and ordering of media, print, and online event promotion.

  • Assists with invitation design, ordering, and distribution.

  • Maintains detailed records of events including tracking in the database records of contacts, RSVPs/responses, and attendance.

  • Consults with internal and external affiliates for presidential and other university events to ensure UTA is appropriately represented. Collaborates with UT System, Government Relations Office, and other departments to coordinate VIP visits to campus.

  • Performs other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree and three (3) years of related of work experience in event planning or related work experience at a level comparable to the needs of the position.

  • Exceptional project management and time management skills: highly organized and results-driven, and accountable with the ability to handle high pressure, last-minute, urgent requests.

  • Previous higher education experience in planning and executing community and presidential events.
