MaineGeneral Health Supervisor Executive Support Team & Assistant to the Chief Executive Officer in Augusta, Maine

Job Summary:The Executive Assistant plays a pivotal role in supporting the Chief Executive Officer (CEO) by managing daily activities, coordinating schedules, and providing essential administrative support. This position serves as a key liaison between the CEO and internal/external stakeholders, ensuring smooth communication and efficient operations.

Success in this role demands exceptional organizational skills, the ability to handle confidential matters with discretion, and a proactive approach to managing priorities. Flexibility to adapt to changing needs and occasional evening or weekend work may be required.

Job Description:

The Work:

  • Supervise daily activities of the executive assistant team, coordinating staffing assignments and levels.

  • Provide direction, training, coaching, and mentorship to team members, ensuring high performance.

  • Conduct performance evaluations and implement disciplinary actions when needed.

  • Prioritize creation, preparation, and distribution of personnel, financial, and operational communications.

  • Manage the CEO's business schedule, including scheduling meetings, conferences, special events, appointments, and travel arrangements.

  • Handle complex or novel issues independently or provide guidance to team members as needed.

  • Serve as the primary point of contact for the CEO and Board of Directors, maintaining effective communication and fostering positive relationships.

You Have:

  • Proven experience in an executive assistant or administrative capacity, with a track record of success.

  • Strong leadership skills with the ability to motivate and mentor team members.

  • Exceptional organizational and time management abilities, with keen attention to detail.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite and other relevant software applications.

  • Ability to handle confidential information with discretion and professionalism.

  • Flexibility to adapt to changing priorities and deadlines.
