Job Summary:

Key Responsibilities:

Center Operations and Support (55%)

  • Serve as the initial point of contact for the Center and provide outstanding customer service on the phone, email, and in person, maintaining professional working relationships with a wide variety of internal and external stakeholders.

  • Manage general office administration and provide support for the Center including but not limited to answering calls and responding to emails; disseminating information to community members, maintaining internal documents and records; preparing invoices and deposits.

  • Execute projects assigned by the immediate supervisor for Center programs and operations.

  • Manage travel and scheduling for the Center Director.

  • Assist faculty and visiting speakers with travel as needed.

  • Process scope of work documents and payment vouchers for external vendors.

Finance (30%)

  • Assist in the implementation of procurement procedures including reconciliation of office expenses and travel expenses; manage reimbursements for employees and non-employees (ie: visiting speakers).

  • Execute all aspects of fulfilling honoraria, sponsorships, and donations.

  • Assist in budget reconciliation and monitoring including pulling financial reports.

  • Independently determines appropriate accounts for allocation of expenses and ensures financial transactions are appropriate and comply with all relevant university regulations and policies.

  • Budget maintenance and follow-up of financial transactions related to procurement and program expenses.

HR (10%)

  • Assist the Operations Manager with onboarding new personnel.

  • Perform the recruitment and hiring process, including scheduling search committee meetings, interviews, faculty visit schedules, letters of offer, and onboarding for faculty, staff, and students.

Events (5%)

  • Approximately 2-4 larger events per year (50 guests) which may require ordering catering, assisting with room reservation and setup; greeting and registering guests.

  • Where necessary, process official function forms and alcohol approval forms.

Minimum Qualifications:

  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Two years of administrative service experience, ideally within a CU Anschutz department.

  • Experience in HR operations, processing or supporting payroll or hiring processes.

  • Experience with fiscal operations or responsibilities.

  • Experience with Microsoft Office Suite.

  • Knowledge, Skills, and Abilities:

  • Exceptional customer service and relationship management skills.

The University of Colorado Center for Bioethics and Humanities (CBH) is looking for a creative, innovative team player to administer, coordinate, and manage the office of the Center. This is a full-time University Staff position located at the CU Anschutz Medical Campus. This individual will provide critical office and administrative support for the Center Director and Operations Manager. The position exercises initiative to achieve organizational goals and objectives, maintains confidentiality, and establishes and maintains positive working relationships. This position will oversee the functionality of daily business tasks and requires considerable organization, focus, analytical, and technical skills. The position directly manages and is responsible for budgetary tracking, human resource processes and reporting, and assisting in troubleshooting complications as they arise. In addition, this position requires a working knowledge of all current University policies that are relevant to business services which may include, but not be limited to procurement, human resources, budget, events, and travel.

Onsite/Hybrid Option - This position will begin on site, with the option to transition to a hybrid work schedule.
