Key Responsibilities:

Project Coordination (20%):

  • Independently coordinates all aspects of program events when needed.

  • Meets regularly with internal stakeholders to define objectives and update on objective execution.

  • Verify expenditures; ensure documentation and charges are appropriate and allowable per award notice.

  • Create various reports for Fiscal Manager and other stakeholders using Excel, Concur, and CU Marketplace.

  • Prepare and monitor employee procurement cards and travel reimbursement expenses and reports; analyze expenditures for compliance with the University policy and avoid cardholder violations.

  • Prepare and monitor procurement transactions; including but not limited to purchase orders, payment vouchers, non-employee reimbursements/travel/honoraria, and subcontract purchase orders.

  • Act as delegate for PMCC cardholders to help create monthly Concur expense reports, reallocating charges to appropriate speed type and general ledger account code, attaching appropriate documentation, and working with cardholders to submit promptly.

  • Monitor procurement card expenses and prepare monthly expense reports, as well as conducting procurement and travel arrangements involving the CU Procurement and CU Travel credit cards.

  • Entering and executing purchase orders, amending/renewing contracts monitoring end dates and balances for open contracts, and tracking order status and invoice processing through CU Marketplace.

  • Ensure the propriety of all transactions per all State, and University rules and regulations.

  • Gather all required documentation for procurement contracts including risk assessment results, quotes, SOWs, and any required HIPAA agreements.

  • Oversees components of financial and procurement responsibilities with minimal supervision.

  • Tracks data and compiles reports needed for various funding efforts, compliance, and extension; and maintains internal tracking and deadlines for submissions.

  • Executes operational procurement for the organization, including but not limited to, arranging and reconciling travel for everyone in the unit and external partners, procurement contracts, purchase orders, and expenses.

Other Duties Assigned (50%):

  • Oversees program logistics which include: scheduling facilities, such as class or conference rooms, by determining the eligibility of the event and group; planning events by writing specific orders and compiling operating expense data, arranging the logistics and equipment, selecting menus and caterers, designing decorations, scheduling the site, locating selected presenters, setting reservation deadlines, and making transportation and lodging arrangements for participants; create and sign correspondence without prior instructions where the content varies based on the nature of issue being addressed

  • Providing financial, operational, and administrative support for PMCC leadership

  • Responsible for releasing official information or documents that are legally confidential depending on the reason, requestor, and document requested.

  • Submits timecards from My.Leave to PeopleSoft CUTime (HRMS) and My.Leave training for new emloyees.

  • Manage ECHO's Connect Learning Management Platform vendor contracts including development, hosting, penetration tests, and assist with risk assessments.

  • Help coordinate License Agreement execution between Connect tenants and the CU Innovations office.

  • Assist with onboarding new tenants and other administrative tasks as assigned.

  • Proofread and edit documents and presentations to ensure information is well organized, quantitative, and qualitative data are current, and backup detail is readily accessible promptly. Anticipate the data needs for presentations, compiling data, and developing graphics ahead of deadlines.

  • Coordinate and staff executive-level standing meeting(s), including compiling agendas, taking minutes, handling related correspondence and communications, ranging from individual emails and memos to campus-wide email distributions, or composing minutes for the official record.

  • Track equipment inventory and ensure teammates have the necessary equipment and software.

Minimum Qualifications:

  • Bachelor's degree in business administration, management, accounting, communications, or a related field.

  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.

  • One (1) year of experience providing operational and process support to a professional office.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Two (2) years of experience working at a higher education institution with knowledge of information systems and financial applications.

  • Familiar with CU procurement and accounting software such as PeopleSoft, My.Leave, Marketplace, and Concur systems.

  • Data management experience including tracking, compiling, and generating reports.

  • At least 2 years of experience working with Microsoft Office Suite.
