GENERAL DESCRIPTIONPerforms complex administrative and supervisory program work for The Information Governance Division of the Office of the Attorney General is seeking a Program Supervisor . Serves as the Manager for the Document Delivery team including Mail Center and Courier units, and supports the work of division leadership. Work involves establishing program goals and objectives; developing program guidelines, procedures, policies, rules, and regulations; developing schedules, priorities, and standards for achieving program goals; evaluating program activities; assisting with the development of program budget requests; and coordinating program activities. Assists with special projects and initiatives as assigned. Assigns and supervises the work of assigned program staff. ESSENTIAL POSITION FUNCTIONS Oversees the day-to-day operations of the OAG Mail Center and Courier programs. Assigns and supervises the work of program staff. Serves as division leaderships primary contact for Document Delivery programs. Responds to inquiries regarding program services, policies/procedures, and related matters. Confers with staff on program issues to identify and implement solutions. Coordinates the agencys Mail and Courier services by receiving, reviewing, processing, and maintaining the required authorization documentation. Maintains professional communication with agency vendors to provide as-needed services. Prepares and reviews reports on the effectiveness of program activities. Coordinates and submits weekly program performance updates and statistical reports to management. Plans, implements, coordinates, monitors, and evaluates assigned programs. Develops and recommends program guidelines, procedures, policies, rules, and regulations; and monitors compliance with policies and procedures. Participates in the development of program goals and objectives. Assists in risk assessment, business continuity and disaster planning efforts. Assists with general administrative and human resources duties, including, but not limited to: supply management, agency property inventories, program-related bookkeeping and contract billing reconciliation, monitoring program budgets, managing program stock inventories, vehicle management and maintenance, training assigned personnel, work scheduling, and leave management. Ensures appropriate management of Mail Center and Courier program records per agency policy; documents and files records in timely manner. Coordinators with division Records Management Liaison regarding disposition of program records. Maintains contact with personnel working in mail services in other state agencies as well as USPS and overnight delivery vendors to solve problems and enhance communication and services to the program area and agency. Keeps abreast of technological advances and assures equipment investment will be fully utilized and interface with product areas. Provides training or technical assistance in Mail and Courier services. As needed, provides orientation to new Office Managers and staff regarding program policies/procedures, timeliness, and related matters. Performs related work as assigned Maintains relevant knowledge necessary to perform essential job functions Attends w rk regularly in compliance with agreed-upon work schedule Ensures security and confidentiality of sensitive and/or protected information Complies with all agency policies and procedures, including those pertaining to ethics and integrity Qualifications: MINIMUM QUALIFICATIONS Education: Graduation from high school or equivalent Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis: mail processing, purchase requisitions, bookkeeping/accounting, customer service, or experience training on complex activities Experience: Four years of full-time experience working in the following (or closely related) fields: mail processing, purchase requisitions, bookkeeping/accounting, customer service, or experience training on complex activities Knowledge of mail processing principles, practices, and related state and federal laws Knowledge of Mail Center and Courier program operations Skill in using a computer for word-processing and data entry/retrieval; especially MS Office products Skill in understanding and following complex oral and written instructions Skill in handling multiple tasks, prioritizing, and meeting deadlines Skill in effective oral and written communication Skill in exercising sound judgment and effective decision making Ability to interpret rules, regulations, policies, and procedures Ability to oversee and supervise the work of others Ability to design and implement training or retraining programs for division employees Ability to provide technical guidance to less tenured staff Ability to work in mail processing environment Ability to receive and respond positively to constructive feedback Ability to work cooperatively with others in a professional office environment Ability to provide excellent customer service Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave) Ability to arrange for personal transportation for business-related travel Ability to work more than 40 hours as needed and in compliance with the FLSA Ability to lift and relocate 50 lbs. without assistance Ability to travel (including overnight travel) up to 5% PREFERRED QUALIFICATIONS Experience supervising a team of at least 5 people Experience working in a government mail center Knowledge of OAG and state budget processes Knowledge of administration and management techniques Knowledge of continuity principles and disaster recovery processes Skill in identifying measures or indicators of program and staff performance Skill in team-building and change management techniques Skill in operating mail processing equipment TO APPLYTo apply for a job with the OAG, electronic applications can be submitted through CAPPS Recruit.
