Program Coordination - The Senior Administrative Program Coordinator at TACC provides high level programmatic support to a large research unit; They take initiative and work both independently and as team member responsible for large volume of complex decisions.Program Responsibilities - Responsible, with little supervisory direction, for business processes related to program activities from inception to completion. Take actions independently without waiting for explicit instructions or guidance. Anticipate, identify and resolve issues and discrepancies (address delays, resolve billing issues, find alternative solutions). Demonstrate resourcefulness and flexibility in finding solutions.Team Responsibilities - Demonstrate willingness to support and rely on team members, foster positive team dynamic, share responsibilities, and work together to achieve common goals. Contribute positively to work.Purchasing Responsibilities- Develop and formulate small and large purchase orders (exclusive acquisition justifications and justifications for federal funds), intricate business contracts, scholarships/stipends with precision. Follow all University and Department policies and procedures.Projects and Events Responsibilities- Manage complex projects, initiatives or events (virtual and in-person) including higher level budget management, vendor management, timeline management; be onsite for the duration of each event including setup, cleanup and breakdown; group travel planning and reimbursement. Coordinate with vendors and stakeholders. Projects may require occasional travel offsite for workshops or conferences.Customer Service Responsibilities- Provide exceptional customer service through planning and coordinating projects, create atmosphere of professionalism and importance of the project(s).Financial Responsibilities - Support financial processes such as budget monitoring, expense tracking, processing invoices, payments, reimbursements and procurement of supplies or services in accordance with University policies and procedures. Responsible for monthly procurement card and group travel card reconciliation.Administrative Responsibilities - Lead and participate in efforts to assess and improve administrative practices, workflows, and service quality through feedback mechanisms, training, documentation, process optimization, and innovation. Leverage technology solutions to enhance administrative efficiency and streamline processes.Communication Responsibilities - Communicate prompt, courteous explanations, status information and advice to investigators, vendors, staff, students, purchasing office and accounts payable via email, ticket system, or other methods. Prioritize customer service internally and externally.Travel Responsibilities Process travel authorizations and reimbursements for staff, students, and visitors. Demonstrate resilience or resourcefulness in handling special travel situations, deliver high-quality service, update travel documentation, provide travel training to TACC staff, takes initiative to plan, organize and process more complex requests such as group and international travel.Work Responsibilities - Work independently without daily supervision, complete work with high level of accuracy and attention to detail, perform work thoroughly and completely exercising high degree of initiative and judgement. Ensure proper documentation of processes for internal and external audit. May process high volumes of documents with tight deadlines.Other Duties - Responsible for a variety of other duties as needed from administrative team member, managers, and TACC staff. Maintain positive attitude and demonstrate willingness to learn new skills.Other related functions as assigned.
