*The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

*Note: Appointment may be made at a traineeship level. Two-year traineeship (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $39,215 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $43,768) leading to Administrative Assistant 1, Grade 11 ($46,306).

Duties/Description The incumbent will provide administrative support for the DEC Region 8 Avon office. The candidate must have strong organizational skills, must be self-motivated and comfortable working independently on tasks, and must have strong interpersonal skills. The incumbent must demonstrate an ability to actively coordinate with and be responsive to staff and the public. This position requires the ability to multitask and prioritize work tasks.

Specific duties will include:

  • Answering phones and responding to inquiries from the public and other agencies
  • Monitoring multiple email inboxes and responding to emails in a timely manner
  • Database entries and tracking
  • Receipt, logging, and distribution of mail and paperwork to the appropriate staff
  • Responding to FOIL (Freedom of Information Law) requests and performing eFind searches for responsive records or reassigning appropriate staff
  • Reconciling FMIS and SFS travel reports and Purchase card payments
  • Assist Administrative Analyst with deposits
  • Creating and managing paper and electronic files
  • Setting up meetings, appointments, and web-based conference calls
  • Scanning and purging paper files to maintain electronic filing systems
  • Review and formatting of outgoing correspondence and form letters
  • Ordering, tracking, and maintaining supply inventory
  • Backup reception duties during core hours as needed
  • Working directly with Administrative Specialist on special projects and administrative tasks as needed
  • Assisting other administration staff and programs as needed

Additional Comments - Must be able to lift and move objects up to 10 pounds. Telecommuting may be available, will be discussed at interview.

Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
