Kennedy Krieger Institute Administrative Assistant: Special Education (High School-Greenspring Campus) in Baltimore, Maryland

Overview

The Administrative Assistant will support the school program by providing a variety of routine office, clerical and administrative tasks. This position grants access to the facility and is responsible for greeting parents, students, visitors, and staff. This staff member will relay information, assist with outgoing correspondence, reserve meeting spaces, and maintain schedules. The incumbent will also order and organize supplies, maintain documentation, assist with audits, and support the timekeeping efforts as needed.

Our 11-month program focuses on building essential skills based on standards and curricula identified by the Maryland State Department of Education. In addition, instruction in art, music, physical education and fitness, health, life and social skills, career exploration and development and vocational skills round out the course of study.

We are a nonpublic special education day program approved by the Maryland State Department of Education.

Responsibilities

  1. Greet parents, students, visitors, and staff; maintain visitor arrival and departure documentation; answer the telephone; screen calls; take messages; and relay information within scope of authority.

  2. Assist with drafting, typing, editing, and proofing a variety of materials (e.g., internal and external correspondence, memos, reports, etc.). Primary work location will be at front desk in the front lobby.

  3. Perform mail merges; make copies; send emails/ faxes; collate and assemble materials, support staff with office equipment, and maintain an effective filing system.

  4. Regularly receive and distribute mail and packages within Kennedy Krieger Schools, via Kennedy Krieger Institute interoffice mail, U.S. mail, and others delivery services.

  5. Maintain schedules for conference rooms, shared spaces, and meeting appointments.

  6. Order and organize supplies and equipment; process work requests; report facility, security, and compliance related issues.

  7. Maintain visual inspection of front area of the school.

  8. Work with Administrative Services Coordinator to order needed supplies (i.e., coffee, tea, paper products, etc.)

  9. Support the transportation staff by creating and disseminating various notices to the appropriate audiences (i.e., Student late arrival, early dismissal, out-of-school, and bus suspensions). Be available for bus duty as assigned.

  10. Support the organization and preparation of daily student breakfast and lunches as needed.

  11. Support the Administrative Services Coordinator in maintaining the Maryland State Department of Education (MSDE) documentation (i.e., staff on leave logs, Substitute Teacher logs, and 1:1 substitute logs).

  12. Provide timekeeping support and back up to ensure the Kronos system has accurate and complete information each pay period and as needed. Help maintain all timekeeping-related documents, including Schedule Modification Forms and submitted medical documentation.

Qualifications

EDUCATION:

High School diploma or GED is required.

EXPERIENCE:

No previous related work experience is required; however, secretarial or professional office experience is preferred.

KNOWLEDGE/SKILLS/ABILITIES:

  • Must have excellent filing and accurate typing skills.

  • Must have the ability to deliver exceptional customer service to students, families, staff, and visitors.

  • Must be proficient with relevant systems to include key components of Microsoft Office (i.e., Outlook, Word, Excel, and PowerPoint).
