Johns Hopkins University Administrative Coordinator in Baltimore, Maryland

The Johns Hopkins Center for Alternatives to Animal Testing (CAAT) seeks a qualified Administrative Coordinator . The successful candidate will oversee the administrative needs for Center and its staff. This position will include extensive internal and external interaction with faculty, staff, students, and other guests through phone, e-mail, other written correspondence, and face-to-face interaction. The position is expected to maintain a high degree of professionalism and trust on the telephone, in person, on zoom, and via electronic communication, and must be able to prioritize and multitask based on changing needs and deadlines. Inter- and intra-office communication and teamwork skills are critical. This position will perform duties of a sensitive and highly detailed, technical nature, exercising administrative judgment and maintaining responsibility for quality of service and discretion.

Specific Duties & Responsibilities

  • The Administrative Coordinator will provide administrative assistance to the Center’s Director. Primary tasks include, but are not limited to,

  • Keeping the Director’ calendar.

  • Scheduling meetings and provide administrative support with the preparations for meetings (e.g., invitations, agenda, itineraries).

Travel Planning.

  • Research and schedule (international) travel (Booking flights, hotels, etc.)

  • Create detailed Itinerary and travel folder for each trip.

  • Registration for conferences and workshops.

Reimbursements (incl. sponsored)

  • Travel reimbursements.

  • Conference reimbursements.

  • Events/workshop related reimbursements.

The Administrative Coordinator ensures smooth management of the day to-day administrative operations of the Center and serves as an information resource and will provide assistance to departmental leadership, faculty, staff, and students, as well as contacts from outside the Center. General tasks include, but are not limited to,

  • Ordering.

  • Setting up contracts, processing payments and invoices.

  • Assisting with personnel onboarding.

  • Exercises independent judgment, maintains high-level of confidentiality, demonstrates initiative and public relations skill, multi-tasks, and manages many competing priorities.

  • Communicates effectively and maintains positive courteous, supportive, and professional working relationships with all levels of contacts; contributes to the customer service-oriented atmosphere within the Center.

  • Independently manages projects, develops, and maintains positive working relationships internally and externally to the Center, the University, and with all those they personally encounter including University representatives, faculty, staff, and students.

  • Documents administrative systems, creating, compiling, and updating policies & procedures as needed.

  • Performs other duties as required.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Three years related experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Role/Level/Range: ATO 40/E/02/OE

Starting Salary Range: $18.00 - $33.50 HRLY ($45,000 targeted; Commensurate with experience)

Employee group: Full Time

Schedule: Monday to Friday: 8:30 am – 5 pm
