Robert Half HR Assistant in Baltimore, Maryland
The HR Assistant supports the human resources department by providing administrative and clerical assistance to ensure the smooth and efficient functioning of HR processes and procedures. This role plays a crucial part in assisting HR professionals, employees, and job applicants, and contributing to the overall effectiveness of the HR department.
Assist with posting job openings on company websites and external job boards.
Coordinate and schedule interviews, including arranging interview rooms and sending interview invitations.
Maintain and update job applicant tracking systems and databases.
Communicate with job applicants regarding their application status and interview details.
Prepare new hire paperwork and ensure all required documents are completed.
Assist in conducting orientation and onboarding sessions for new employees.
Help with the setup of employee workspaces, equipment, and access to company systems.
Maintain and update employee records, including personal information, employment contracts, and training records.
Ensure compliance with data protection regulations and maintain the confidentiality of HR records.
Assist employees with inquiries related to benefits programs, such as health insurance, retirement plans, and paid time off.
Assist in the enrollment and termination of employees in benefit plans.
Collaborate with the payroll department to ensure accurate and timely processing of payroll.
Assist in the verification of timesheets and attendance records.
HR Policies and Procedures:
Assist in the dissemination of HR policies and procedures to employees.
Support HR staff in enforcing company policies and addressing employee questions or concerns.
Training and Development:
Coordinate training and development programs, including scheduling training sessions and tracking employee participation.
Maintain training records and assist in evaluating training effectiveness.
Provide administrative support for employee engagement and recognition programs.
Assist in organizing company events and activities that promote a positive work culture.
Assist in ensuring HR compliance with federal, state, and local labor laws and regulations.
Participate in compliance audits and reporting as needed.
General Administrative Tasks:
Manage HR department calendars, schedule appointments, and coordinate meetings.
Handle HR-related inquiries from employees and external parties.
Order and maintain office supplies for the HR department.
Strong organizational and time-management skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Excellent written and verbal communication skills.
Attention to detail and accuracy in record-keeping.
Ability to maintain confidentiality and handle sensitive information.
Familiarity with HR software and systems is a plus.
Prior HR internship or administrative experience is beneficial.
