Our Siemens DISW SEA Renewal Sales team is expanding and looking for Sales Operations Analyst to be based in Bayan Lepas (Penang). This role will be managing orders, providing quotes and reports, enhances any processes and supporting our Renewal Sales Representatives in the region. This role will also work together with our customers, partners, and Renewal teams.

Responsibilities:

  • Provide quote and proposal creation support to Renewal teams, including direct sales and partner proposal generation.

  • Manage end-to-end O2O (Opportunity to Order) workflow, ensuring clean orders and compliance with approval justifications throughout submission, workflow, approval, and acceptance processes.

  • Assist renewal teams in meeting order submission requirements, including payer and credit limit setup, and compliance with various requirements such as EES, ECC/DAMEX, etc.

  • Handle or coordinate complex queries on products, pricing, licensing, and installation data, including non-standard, trade-in, or third-party products.

  • Monitor billing status and coordinate with sales or finance to send invoices with local language addresses as needed.

  • Review manual orders to ensure compliance with various policies and requirements, including COD, EULA, PST, GSLA, PO, etc.

  • Understand and adhere to company processes, policies, and corporate tools such as Salesforce CRM and O2O, participating in UAT and assisting in local deployment activities.

  • Coordinate with sales operations, technical teams, partners, and finance to ensure smooth execution of sales processes.

  • Provide tools support to local and regional users, conducting training and knowledge transfer session as necessary.

  • Ensure compliance with global policies, including policy validation, contract, and legal document approval facilitation.

  • Maintain and update order tracking lists, assist in reporting and forecasting processes.

  • Provide support to partners, including but not limited to transfer of install, change name, change address, providing license files, and any other related tasks, as needed.

  • Take initiative to identify areas for improvement and implement solutions to enhance efficiency and effectiveness in job responsibilities.

Requirements:

Education and Experience:

  • University degree or equivalent industrial experience.

  • Minimum 3-5 years of experience in Sales Operations, Opportunity to Order / Order Processing role, preferably in a multinational company environment.

Skills and Abilities:

  • Excellent communication skills in English (written and spoken).

  • Good in analysing policies, workflows, processes, and system tools to facilitate a timely and accurate transaction in compliance with the guidelines.

  • Apply acquired job skills, company policies, and procedures to complete assigned tasks.

  • Demonstrate good knowledge and experience in process quoting and proposal activities in adherence with prescribed policies and processes.

  • Strong reporting, forecasting, training, and knowledge transfer activities, as well as support EES/ECC and participate in process improvement initiatives.

  • Excellent proficiency in Microsoft Office especially Microsoft Excel for data analysis, reporting, and other relevant tasks.
