Job Summary/Basic Function

About This Role:

The Payment Specialist, Travel is responsible for all activities related to the payment and reimbursement of university travel expenses for all University personnel and prospective employees. This includes managing individual and corporate travel credit cards. The position ensures all travel expenses comply with the rules and regulations mandated by the State of Texas, the Texas State University System ( TSUS ), and Lamar University. Additionally, the Payment Specialist maintains the Chrome River Travel & Expense system and provides training on this system for university personnel. This role may also collaborate with and serve as a backup for the Procurement Card Manager.

What You’ll Do – Position Duties

  • Processes, reviews, and encumbers travel pre-authorizations in the Chrome River Travel

and Expense system and the Ellucian Banner financial system; verifying accuracy,

terminology, and funding source.

  • Processes and reviews travel expense reports in Banner and Chrome River, verifying

legitimacy, accuracy, terminology, and funding source, in accordance with applicable

regulations, policies and procedures. Analyzes all back-up documentation for legitimacy

and legality. Makes decisions regarding the appropriate coding of each expense.

  • Manages the University individual and corporate travel credit cards, including

applications, payments, credits, and reconciliations.

  • Maintains the Chrome River Travel & Expense system, file upload and system errors, and

provides training on this system to University personnel. Working with IT on system

issues or testing of system patches and upgrades.

  • Provides direction to departmental personnel on routine or moderately complex issues

and concerns related to travel payment services, referring to the Payment Specialist Sr

or Director of Payment Services if needed. Monitors and investigates issues and assists

with problem resolution.

  • Assists and serves as backup to the Procurement Card Manager.

  • Provides travel policy training to Lamar University employees.

  • Maintains proper expense report files and records relating to the travel process.

  • Maintains a working knowledge of new rules and regulations provided by Lamar

University, Texas State University System, and the Texas State Comptroller.

  • Provides supporting documents for audits and public information requests. May assist

with 1099 tax form processing, computerized check and direct deposit runs, and check

voids. Assists the Director of Payment Services with administrative duties if needed.

Performs other duties as assigned.

Physical Requirements:

Must have physical ability to perform minimal physical work in a normal office environment including lifting/carry/pushing/pulling up to 20 pounds regularly.

Job Conditions:

Standard business working hours, Monday through Friday, 8:00am to 5:00pm. Some evening and weekend work, as required, during peak processing times.

Minimum Qualifications

  • High School diploma required.

  • A combination of education, experience, and training to produce the required knowledge and abilities could be considered.

  • At least two years of proven customer service experience, excellent written and verbal communication skills for creating correspondence, speaking with, and training customers, and proficiency with Windows, Word, and Excel.

Preferred Qualifications

  • Associate’s degree in accounting, finance or business-related field.

  • Experience with credit card management and reconciliation preferred.

  • Experience in higher education and government travel, accounts payable or purchasing experience with experience within Texas agencies preferred.

  • Chrome River Travel & Expense, or any electronic travel expense system, preferred.

  • Ellucian Banner experience preferred.

  • State corporate travel credit card experience preferred.

Salary $29,759 - $38,687
