Guthrie Coordinator, Medical Staff - Administration - Per Diem in Binghamton, New York
Position Summary: Responsible for coordinating the activities of the Medical Staff Office and performs secretarial duties for the Vice President, Quality/Risk Management.
Education, License & Cert: High school graduate required. Associate degree, business school certification or at least 3 years’ experience as a Medical Staff Coordinator preferred. Medical Staff certification preferred.
Experience: Proficient knowledge of medical terminology required. Demonstrated ability to type 80 to 100 wpm with accuracy preferred. Familiar with NYSDOH and JCAHO Credentialing requirements. Familiar with malpractice insurance requirements. Ability to interact with Medical Staff. Basic Computer skills. Demonstrates good time management and is self motivated. Must possess high ethical standards with respect to discretion and regard for confidentiality. Must possess high degree of flexibility and adaptability to adjust to duties and changes in routine to meet varied and unscheduled needs of the department. May be required to work holidays, weekends and shifts other than those which are regularly assigned. Ability to communicate & interact effectively with a wide cross section of individuals in a courteous & tactful manner.
Essential Functions: Routinely interfaces with all hospital departmental staff, all members of the Medical Staff and their office staff, the general public, patients, lawyers, Administration, Health Department and Board Members, Performs confidential, diversified secretarial and minor administrative duties for the Vice President Q/R.M., Medical Staff Officers, Chiefs of Service, Committee Chairmen and the Medical Director. Provides each new applicant with a letter identifying information to be submitted, an application form, appropriate privilege delineation form, a copy of the Bylaws / Rules / Regulations, appointment and reappointment policies and procedures and a health history form, Reviews returned applications to assure completeness in accordance with NYS and Joint Commission regulations. Obtains additional information if needed, Queries the Internet and/or NYS Licensure Department to verify, licensure/registration and standing, Queries the National Practitioner Data Bank and Medicare/Medicaid site for fraud and abuse and ECFMG verification, Sends reference request letters to all listed references and past hospital affiliation, Reviews completed application with Medical Director and Chief of Service. Advises applicants of final appointment decision and informs appropriate departments relative to applicants' membership and privileges, Maintain information in mainframe and Maxsys file program and the privilege delineation file, Maintains tickler file and word processing program to ensure current information regarding periods of appointment and expiration of registrations and DEA's; Infection Control Certificates, physicals and Certifications of Insurance, contact physician to obtain current copies, Prepares application for re‐appointment (3) months in advance of expiration of physician's term of appointment including ethical and legal principles, previous year's committee attendance, summary of educational programs, prior 2 years and YTD phys. admission activity, preparing reference request letters, physical exam and privilege list, Reviews returned applications for completeness in accordance with regulations, obtaining additional information as needed, Queries Internet and/or Licensure Department to verify licensure/registration and standing, Queries the National Practitioner Data Bank, Sends reference request letters, Reviews reappointment application with Medical Director and Chief of Service, Prepares agendas and packets for assigned Medical Staff meetings, Transcribes minutes of Medical Staff meetings and all special meetings and memos from the Staff, Maintains the permanent personnel and peer review files for all members of the Medical Staff in accordance with State code and Joint Commission standards, Submits revised Medical Staff privileges and committee appointments to Administration, Chiefs of Service and Hospital Departments. (Includes requests for temporary privileges.), Maintains and publishes on call schedules for the Medical Staff, Updates Medical Staff membership listing and disseminates information.
Other Duties: Maintains Med. Staff checking account, obtaining appropriate signatures, writing checks, reporting status of account to the Secretary/Treasurer and preparing the annual reports for the Medical Staff, Collects dues as assessed by the Medical Staff, Completes special projects, as needed, e.g., Cancer Standards Book, Responsible for faxing information to lawyers, hospitals and libraries and is responsible for receiving and distribution of faxed information, Responsible for making travel arrangements for Q.A./R.M. Staff and the Medical Staff, Notifies and reminds Med. Staff and hospital personnel regarding meeting bookings and cancellations, Collects, opens, date stamps procedures, Updates regulatory and law manuals and disseminates information to appropriate departments, Maintains (3) bulletin boards to communicate with the Medical Staff, Orders and maintains supplies, subscriptions, etc., for the Q.A./R.M Department and Medical Staff Office, Provides coverage for the Q.A./R.M. Secretary, occasionally the Administrative Secretary and transcription needs of other Departments, Attends Credentials and Professional Review meetings and documents committee activities, Adheres to all Department & Organizational Policies and Procedures.
The pay range for this position is $18.53 - $28.92/hour
