ROLE AND RESPONSIBILITIES

The Payroll Specialist will be responsible for union payroll processing, analysis, auditing, and ongoing administration. This position will be highly involved in the full-cycle process including reporting of Certified Payroll / Prevailing Wage. This role requires an extremely detail orientated person with significant knowledge of payroll administration and benefits, including union, state, and federal regulations.

  • Lead the weekly payroll process in conjunction with the Payroll Manager.

  • Process weekly union payroll administration, including entering and maintaining new hires and terminations, wage changes, add-on and deduction codes, etc. using our in-house accounting system (Spectrum), in accordance with union agreement requirements.

  • Daily and weekly reconciliation of field employee labor and expenses using our timekeeping system (AL Mobile), in accordance with union agreement requirements.

  • Process layoff checks based on Union termination procedures.

  • Prepare and distribute a variety of reports, including weekly Certified Payroll, monthly EEO Utilizations, monthly union reports, labor distribution and ad-hoc reports.

  • Assist in union benefit management using our in-house accounting system (Spectrum), in accordance with union agreement requirements.

  • Audit and process benefit accruals and payments.

  • Reconcile the General Ledger with monthly payroll reports.

  • Respond to calls from field employees in a timely and customer friendly manner.

  • Identify and review job costing reports for accuracy and discrepancies.

  • Complete and respond to employment verification inquires and unemployment verifications.

  • Ensure compliance with Federal and State payroll wage and hour laws, as well as union contract agreements.

    QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • High School Diploma or equivalent required.

  • Associates degree in related field or American Payroll Association certificate preferred, including Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC).

  • Must have at least 5 years of payroll experience. Certified Payroll experience in a union setting preferred.

  • Must have a thorough understanding of Federal and State payroll laws and regulations.

  • Knowledge of and experience with complete payroll process from collection of timecards to check distribution.

  • Advanced skill level in Microsoft Excel.

  • Proficient skill level in Microsoft Word and Adobe/Bluebeam.

  • Ability to understand and apply multiple benefit structures.

  • Ability to understand and apply job costing.

  • Advanced analytical skills.

  • Strong sense of urgency and flexibility.

  • Strong customer service skills, attention to detail and ability to multi-task.

  • Demonstrated ability to prioritize, stay organized and produce a high volume of work accurately.

  • Ability to work independently, lead others and exercise sound judgement.

  • This job operates in a professional office environment.

  • This role regularly uses standard office equipment such as computers, phones, filing cabinets, photocopiers and fax machines.

  • This position requires the ability to lift files and open file cabinets.

  • Employees are frequently required to sit, stand, and occasionally required to bend, kneel, reach, stoop, or crouch.

  • This position may occasionally lift up to 10 pounds.
