Position Purpose
Ensure the performance of order management, returns, complaints handling, and other activities as part of Customer Service.
Key Responsibilities
End to End Order management.
Ensure timely order management and fulfilment (KPIs).
Establish effective relationships with distributors and affiliates.
Respond in a timely manner to all customers inquiries promptly, identify issues and concerns and provide appropriate solutions.
Ensure the RMP is available for specific products.
Review of all terms and conditions, including price.
Issue Commercial invoices, Proforma invoices, Credit notes and Commissions.
Issue transport orders to our forwarding agents.
Issue or review shipping documents or any other documents needed for export, import or banks.
Supervise delivery dates and provide relevant information to the customer
Manage Orders for External Clinical Trial customers.
Responsible for tracking shipments from our warehouses to final customers and handling any damage or return
Manage any Change Control Requests for their department.
Prepare monthly documents and checks required by the Finance Department.
Provide support and documents for audit purposes (logistics, finance, etc.)
Maintain database for orders, product returns, credit notes and credit returns.
Close cooperation with other departments
Responsible to notify to the manager any discrepancy in any Customer Service's SOP.
Establish new processes.
Identify business needs where needed and make recommendations to streamline the distribution of products.
Required Competencies
Proficiency in SAP and Excel
Numerate, well organized, flexible and have good attention to detail.
Ability to work and communicate effectively in an international and multicultural environment.
Effective interpersonal and collaborative skills, sense of ownership.
Able to work independently, partner effectively with internal and external partners, and to set and manage own objectives.
Process and continuous improvement mindset.
Ability to drive processes and decisions to closure, is persistent in reaching the goals.
Required Qualifications and Desired Experience
Knowledge of transport logistics (air and road)
Interpersonal skills, team player and willingness to work in an environment where individual initiative and accountability to the team are required.
Ability to work with limited day to day supervision.
Ability to work and perform productively in a fast-paced and rapidly changing environment.
A business / administrative school graduate or equivalent in industry experience.
PC experience and Microsoft programmes (MS Office) experience.
Fluent in English and French.
