It plays a crucial role in managing the flow of student, faculty, and operational issues, ensuring efficient and effective resolution. This position requires exceptional problem-solving skills, the ability to prioritize tasks, and a strong commitment to supporting the academic and administrative functions of the institution. They act as the first point of contact for all inquiries and concerns, providing a calm and organized approach to address and resolve issues promptly. This role is essential to maintaining a supportive and efficient environment within the Dean's Office, ensuring that the needs of students, faculty, and staff are met promptly and effectively. Essential Functions • Serves as liaison for the Dean with the administrative and academic community of the University and the local and state community. Works closely with staff from other University offices including President's Office, Provost's Office, General Counsel, other College Dean's offices, Development, Marketing & Communications, Catering, Space Assignments, etc. to prioritize meetings, the Dean's schedule, and prepare College reports. • Serves as the primary contact for public relations including students, faculty, and staff seeking assistance from the Dean and the College. Discreetly screens and handles confidential and sensitive phone calls for Dean. Prioritizes cases based on urgency and provides appropriate handovers to members of the Dean's office (including the Dean), department chairs, student success center, or other campus partners to resolve the concern. Maintains open and effective communication channels with all stakeholders. Respects confidential nature of all written and oral interactions. • Coordinates and triages appointment requests for the Dean's calendar. Schedules appointments, provides background context, and updates as needed. Learns and applies knowledge of dean's contacts to facilitate favorable professional relationships. Coordinates travel and meeting arrangements. • Coordinates and supervises the student workers for the College reception desk, Dean's office, and Schmidthorst Student Success Center. Manages the hiring process, review of all student hours, approves time sheets, manages student projects/tasks to support the work of the College, and trains student employees. Manages the student worker budget to ensure coverage of priority tasks. • Works with the Dean and University Advancement on the fundraising. priorities/development regarding cultivation of current and new donors; stewardship of College donors, potential donors, alumni, industry partners, friends, and special guests; and supports the work of the College, Leadership Council, and Young Alumni Board. Interacts with BGSU executive administration, trustees, major donors, accomplished alumni, business community leaders, faculty, staff, and other Dean constituents. • Coordinates essential events in the Schmidthorst College of Business including leadership council and young alumni board meetings. Coordinates internal events for all college meetings, faculty and staff engagement, and AACSB accreditation. Attends occasional evening and weekend events, such as homecoming celebrations, faculty receptions, donor recognition, and alumni dinners.
