Brockton Hospital Practice Manager in Brockton, Massachusetts

Position Summary:

Under the direction of the Service Line Director, manage the daily operations of specific clinical units. Supervise non-provider staff within assigned units. Ensure effective and efficient patient flow and high standard of customer service. Implement Lean practices within the department. Implement operating policies and procedures required to deliver quality patient care, enhance practice volumes and appropriately manage operating costs as directed by leadership. Assist in management of financials for assigned practices. Implement plans for the provision of cost-effective, high quality health care services for new and existing patients.

This is a full-time 40 hour/ week position

Responsibilities:

  • Manage day to day operations of assigned clinical units; manage non-provider staff (medical assistants, medical office coordinators, and registration and reception staff); ensure appropriate staffing/coverage levels.

  • Maintain Tier 1 boards; hold self and staff accountable for use of problem solving sheets and regular contributions to suggestion system. Maintain training levels for self and staff; ensure new staff members are oriented to Lean during their 90 day orientation period.

  • Ensure staff understands and adheres to policies and procedures.

  • Ensure adequate staffing and performance (hiring, managing performance, counseling, and termination); Manage staff performance via annual performance appraisals, regular feedback and coaching, supporting performance improvement and handling corrective action if necessary. Maintain required employee records.

  • In conjunction with Director and Chief, lead clinical teams to achieve organizational goals and objectives.

  • Build and maintain effective relationship with Chief/Physicians to support operation of unit.

  • Manage clinical space efficiently. Create a safe working environment

  • Hold staff and self accountable for high level of patient satisfaction. Work with Director to address issues as needed.

  • Coordinate high quality patient care; work directly with patients and family as needed.

  • Implement directives, standard policies and procedures and office protocols as approved by senior management or the board of directors of the practice and as directed by Service Line Director.

  • Responsible for the implementation of operating policies and procedures that support strategic management goals while operating within practice level budgets including capital expenditures, revenue and expense.

  • Responsible for the establishment of a working environment which supports the necessary team spirit and morale required to deliver quality services to patients.

  • Effectively resolve patient complaints and use this feedback to drive operational improvement in practices.

  • Lead or participate in regular monthly practice meetings with physicians and department staff during which practice operations and financial results are reviewed, operating problems are presented and resolved and performance improvement goals are established and implemented.

  • Implement appropriate quality measurement and accreditation activities such that practices achieve requirements established by Signature Healthcare.

  • Oversee site level billing functions and compliance with established policies and procedures.

  • Resolve medical-administrative problems and keeps lines of communication open with staff to ensure high employee morale and a professional atmosphere in the practices.

  • Implement auditing and review procedures to monitor office processes, tasks and activities.

    BASIC KNOWLEDGE/SKILLS/APTITUDE/EXPERIENCE:

  • Strong verbal and written communications skills required for dealing with highly educated physicians and staff.

  • Demonstrated success with continuous improvement; experience working with Lean principles.

  • Strong interpersonal skills required; proven ability to build an effective team, provide leadership in the development of goals, creation of plans, and the execution of strategies.

  • Proven ability to generate quality management reports and documents which clearly and concisely communicate information to physicians and management.

  • Understanding of managed-care contracting requirements, operation and financial management under managed care and knowledge of insurance carrier documentation and coding requirements

  • Working knowledge of employment practices and applicable regulatory requirements of certification agencies such as JCAHO, CLIA, OSHA and other agencies that interact with physician offices.

    Education/Experience/Licenses/Technical/Other:

  • Education: Bachelor’s Degree in Business Administration or Healthcare Administration preferred.

  • Experience : 3 – 5 years’ hands on experience in management of physician practice. Multi-site or multi-practice management experience preferred.
