ICF Junior Event Project Manager in Brussels, Belgium

Description

ICF Next is one of the leading integrated communication agencies in Europe, specialising in large-scale events across the European Union and abroad. We are looking for a creative and dynamic team player to fill the position of Junior Event Manager. The ideal candidate has a good knowledge of event management as well as strong communication skills; has experience in working for the preparation and delivery of physical, hybrid and online events in a qualitative and timely manner; manages logistical and operational tasks for small and medium-size event projects; is proactive and solution-oriented

Responsibilities:

  • Strategically plan and execute all logistical aspects of events, ensuring seamless operations from inception to completion.

  • Cultivate and maintain daily communication with clients, predominantly EU Institutions, to deeply understand their needs and deliver exceptional service.

  • Oversee registration processes utilizing cutting-edge platforms like CVENT, B2Match, and Swoogo, guaranteeing a smooth and efficient attendee experience.

  • Manage travel and accommodation arrangements for participants, optimizing convenience and cost-effectiveness while adhering to high standards.

  • Conduct thorough technical tests, briefings, and rehearsals to flawlessly manage events both online and in hybrid formats, leveraging platforms such as Sli.do, Zoom, Webex, Interactio, and MS Teams.

  • Coordinate all logistical aspects of physical events to ensure seamless operations and exceptional attendee experiences.

  • Liaise with service providers and suppliers, oversee vendor setup, and manage procurement processes to ensure alignment with project goals and standards.

  • Foster seamless collaboration with internal creative and production teams to ensure alignment and cohesion across all facets of event projects.

  • Provide meticulous day-to-day supervision of project tasks, effectively managing multiple event projects concurrently while maintaining high-quality standards.

  • Champion innovative and sustainable practices in event management, reflecting organizational values and contributing to long-term success.

Requirements:

  • Possess a minimum of 2-3 years of event organization and management experience, preferably within the communication realm and with a focus on EU Institutions.

  • Demonstrate exceptional organizational and planning skills, coupled with an unwavering commitment to detail and quality.

  • Exhibit a client-focused mindset, dedicated to exceeding client expectations and delivering unparalleled service.

  • Showcase proven expertise in managing and delivering a diverse range of events, including conferences, meetings, webinars, seminars, both online and offline.

  • Display proficiency in online registration and badging services (CVENT, Swoogo, B2Match) and online conferencing and engagement tools (Zoom, Webex, Interactio, MS Teams, Sli.do).

  • Possess strong communication skills and a collaborative team spirit, essential for effective coordination and delivery.

  • Exhibit excellent proficiency in English and French, with proficiency in additional languages considered advantageous.

  • Embrace a creative vision and commitment to sustainability, driving qualitative and innovative event experiences aligned with organizational objectives.
