SEYMOUR PACIFIC DEVELOPMENTS LTD. Civil Administrator in Campbell River, British Columbia

The Civil Administrator will be flexible and work effectively in a fast-paced environment providing support to the Civil Department and ensuring comprehensive communication and efficient flow of all required paperwork between the site and the various Home Office departments.

Your contributions to the team:

  • Provide administrative support to the Director of Civil Construction and Civil Project Coordinators

  • Assist in coordinating purchase orders, purchase change orders, and ensuring approvals are processed and tracked

  • Work in close collaboration with other Head Office personnel to maintain paper flow and communication between departments

  • Ensure accurate data entry and daily log input

  • Upload, organize, and maintain files

  • Collect gas, Visa, and expense receipts from Civil Team for reimbursement

  • Coordinate travel and accommodations

  • Coordinate invoice reviews and approvals, including verification of correct charges, approval of invoices, purchase orders, investigating as required

  • Coordinate Civil permits, surveys and inspections

  • Obtain Engineers’ certification/sign-off as required on Schedules and other legal construction documents

  • Upload Civil documents, surveys, inspections, tests etc. to ERP

  • Raise any inconsistencies in the monitoring of labour/equipment/material resources, costs, reimbursements, general expenses on self-performing sites

  • Maintain and update Project Assignments

  • Setup weekly Civil Department meetings

  • Regularly update the Civil Projects Board

  • Other administrative tasks, as requested

    What you need to be successful:

  • Post-secondary education in office administration or equivalent preferred

  • Minimum two years’ experience as an office administrator

  • Advanced level of proficiency with MS Office

  • Proficiency with Ceridian/Dayforce and Vista by Viewpoint an asset but not required

  • Ability to effectively communicate with suppliers and vendors

  • Strong multi-tasking and organizational skills

  • Ability to work well with others in a fast-paced construction office environment
