Legrand has an exciting opportunity for anAdministrative Assistant/HR Coordinatorto join theData Center Power & Control Division Starline Teamin Canonsburg, PA. As the company’s “first impression”, this role is the first contact for customer, vendors and visitors. The Administrative Assistant/HR Coordinator must be professional, pleasant and outgoing, able to communicate well with all personality types, be a team player, and able to make basic decisions with visitors to the facility. This position will manage a multi-line phone system, appropriately manage building visitors with security in mind, which also performing basic administrative tasks such as assisting with filing, basic data entry, and maintaining office supplies. This is a dual role as this individual will also provide HR administrative support to the global BUS Human Resources team.

What Will You Do?

  • Provide excellent customer service to internal and external customers.

  • Professionally answer, direct, and manage incoming calls on a multi-line phone system.

  • Assist callers with general company and sales questions.

  • Maintain a high level of security and perform basic judgement based decisions with visitor entry in order to prevent unauthorized building entry.

  • Greet visitors and connect them with the proper employee.

  • Maintain building access badge system for employees, temps, and contractors, which includes providing appropriate access based upon employee role, terminating badges upon request, and managing temporary badge process for security and procedural needs.

  • Assist in the creation and maintenance of HR employee files and records.

  • Prepare onboarding and offboarding materials.

  • Answer employee inquires and help manage employee communications.

  • Partner with HR Operations on employee changes and updates.

  • Prepare standard HR reports and update employee records as necessary.

  • Responsible for taking and maintaining pictures of employees and temps for badges and photo identification files.

  • Sort incoming mail and stamp and coordinate outgoing mail.

  • Assist in preparation of presentations, correspondence, metrics, charts, tables and graphs with responsibly for accuracy and clarity of final version.

  • Assist in site event coordination, such as catering, organizing large-scale meetings, and employee engagement activities.

  • Manage the office supplies for the entire company and ensure inventory is accurate.

  • Provide overall administration support to the HR team.

  • Help various department’s with special projects.

  • Perform a variety of administrative duties. as needed.

Qualifications

Required Skills

Education:

  • High school diploma or equivalent required; Bachelor’s degree preferred.

  • At least 4 years of front desk/administrative, customer service, or related experience.

  • Proficiency with MS Office, Outlook, Excel and Power Point.

    Skills/Knowledge/Abilities:

  • Ability to work independently.

  • Ability to manage a phone system.

  • Strong customer service skills; ability to understand/anticipate customer needs.

  • Basic knowledge and appropriate application of building safety and security guidelines.

  • Excellent phone etiquette.

  • Exceptional communications skills, flexible yet thorough, and possess the ability to manage multiple tasks efficiently while working productively in a fast-paced, team-oriented environment.

  • Ability to recognize and appropriately handle highly sensitive and confidential material and information.

  • Extremely strong organizational, project and time management skills.

  • Ability to take self-initiative and be proactive.
