Job Overview: We are seeking a diligent and organized Administrative Assistant to join our document preparation service team. As an Administrative Assistant, you will play a crucial role in supporting the daily operations and ensuring smooth workflow within our office environment. You will assist in handling client inquiries, managing schedules, preparing documents, and maintaining records with meticulous attention to detail.

Responsibilities:

  • Provide administrative support to ensure efficient operation of the office.
  • Responsible for social media content and engagement.
  • Respond to client inquiries and assist in scheduling appointments.
  • Prepare and format documents according to company standards.
  • Maintain and update client files and records.
  • Coordinate with team members to ensure deadlines are met and priorities are managed.
  • Create a pleasant experience for all clients by demonstrating a personable and attentive character.
  • Manage office supplies and equipment, ensuring availability for daily operations.

Requirements:

  • Proven experience as an administrative assistant or relevant role.
  • Proficiency in MS Office (MS Word, Excel, and Outlook).
  • Willingness to learn and admit/own mistakes.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication abilities (proper spelling and grammar are essential).
  • Attention to detail and problem-solving skills.
  • Ability to prioritize tasks and work independently.
  • High school diploma or GED; additional qualifications in Office Administration are a plus.

Preferred Qualifications:

  • Experience in customer service is preferred.
  • Experience in document preparation or legal services is advantageous.
  • Familiarity with document management systems.
  • Ability to adapt to changing priorities and work under pressure.
  • Basic knowledge of all social media platforms.
