Allstate Floral Inc. Sales Administrative Assistant in Cerritos, California

POSITION OVERVIEW

The Sales Administrative Assistant at Allstate Floral provides administrative support to the Sales VP. Clients will typically be larger accounts or chain stores. To be successful in this position, one must clearly understand the goals, values and needs of the client, the company, and the VP. You have a penchant for helping the VP and Sales team to function as efficiently as possible. Day-to-day activities are dynamic and ever evolving based on customer needs, buying behaviors, and sales trends.  Daily responsibilities can oscillate and therefore requires initiative, judgement, and time management, particularly when prioritizing work from multiple accounts and projects.

CLASSIFICATION:   Non-exempt

STATUS:  Full-Time

ESSENTIAL FUNCTIONS

  • Work closely with Sales VP or account leads on one or more key chain accounts to help maintain momentum of sales orders.

  • Communicate regularly with 20+ independent sales representatives.

  • Acts as a liaison with other departments and outside agencies. Handles confidential and non-routine information and explains policies when necessary.

  • Sort and organize incoming emails, particularly to sales reps and external customers. Draft written responses or replies by email or phone when necessary. Responds to regularly occurring requests for information.

  • May travel domestically to provide sales support at 3 or 4 trade shows per year.

  • Maintain confidentiality of executive decisions and interactions.

    WORK ENVIRONMENT

    This job operates primarily in a professional office environment. The role routinely uses standard office equipment such as computers, phones, copiers, filing cabinets, and fax machines. When expected to travel to trade shows, the environment becomes the showroom.

    Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.  While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires: standing and sitting at will, walking, and bending as necessary; lifting, carrying, pushing, and pulling items up to 35 pounds regularly without assistance and over 35 pounds occasionally with assistance; reaching overhead, at, or below shoulders; gross manipulation with hands and fine manipulation with fingers.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

    POSITION TYPE AND EXPECTED HOURS OF WORK

    This is a full-time onsite position in our Cerritos, California, headquarters. Business hours are Monday through Friday, 8:30 a.m. to 5:30 p.m. If requested to travel to trade shows, the expected days and hours of work will change accordingly.

    TRAVEL

    Travel is primarily locally during the business day. Domestic travel may be expected to our showrooms for trade shows and set-ups, 4 to 6 times a year, for multiples days at a time. Destinations include Dallas, TX, Atlanta, GA, High Point, NC, and/or Las Vegas, NV.

    REQUIRED EDUCATION AND EXPERIENCE

  • High School Diploma; Associate degree preferred.

  • 2+ years of administrative experience; 4+ years of related experience including supporting senior/executive management preferred.

    SALARY RANGE

    $21.00 - $25.00 hourly, depending on experience.
