GENERAL DEFINITION OF WORK: FLSA: NonExempt Performs responsible skilled clerical work involving a variety of administrative support, customer service, and clerical tasks in an office environment; does related work as required. Work is performed under the general supervision of the County Administrator. ESSENTIAL FUNCTIONS/TYPICAL TASKS: (The functions listed are not intended to be all inclusive of the job. The omission of specific duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.) Serves as receptionist; greets visitors; answers telephone; provides general information; forwards phone calls to the appropriate party; assists the public with the completion of standardized records or documents; directs visitors to appropriate party; provides customer service to the general public. Prepares a variety of documents including correspondence, lists, forms, labels, reports, requisitions, resolutions, ordinances, proclamations, meeting minutes, agendas, and related documents, where a knowledge of grammar, format, and presentation is necessary. Reviews these items for clerical accuracy and completeness. Answers routine correspondence independently; distributes documents as appropriate. Assists in the preparation of agenda documents for various boards and committees. Maintains the Board conference room schedule. Assists in the coordination and preparation of periodic and special reports; collects information from a variety of sources and compiles data. Schedules appointments; maintains calendars; makes travel arrangements and registrations as needed. Prepares and disseminates information packets for boards and committees. Posts advertising for meetings in various media platforms and provides packets to interested citizens of meetings as required. Receives, sorts, processes, and distributes incoming and outgoing mail. Operates a variety of standard office equipment; performs light maintenance on copiers, printers, and postage equipment. Sorts, indexes, and maintains various files and records both electronically and paper copies. Serves as the FOIA Officer for the County Administration Office and Board of Supervisors, receiving requests for information and directing said requests to the appropriate individual(s) for response. Prepares building permits; performs calculation of permit fees; manages collection of permit fees; and maintains record of permits received. Accepts zoning permits; reviews for completeness and provides to building inspector for site inspection and then to the Zoning Administrator for approval. UPDATED MAY 2024 CHARLOTTE COUNTY, VIRGINIAREQUIRED KNOWLEDGE, SKILLS AND ABILITIES: General knowledge of standard office practices, procedures, equipment, and administrative support techniques Thorough knowledge of business English, spelling, and arithmetic Some knowledge of County and departmental programs, policies, and terminology Ability to read and understand moderately detailed policies Knowledge of the use of a multi-line telephone system Ability to type accurately at a reasonable rate of speed Ability to operate standard office and computer equipment and accurately perform basic word processing and/or data entry Proficiency in Microsoft Office programs including Word and Excel Ability to follow verbal and written directions Ability to establish and maintain effective working relationships with public officials, associates and the general public with positive attitude and tact Strong verbal and written communication skills EDUCATION AND EXPERIENCE: High school diploma or equivalent required with previous administrative experience or any equivalent combination of education, experience and/or training sufficient to demonstrate the required knowledge, skills, and abilities. An associate degree in a business-related field is preferred but not required. PHYSICAL REQUIREMENTS: Duties are normally performed in an office setting in a seated position where no hazardous conditions are prevalent; however, the job may require frequent standing, walking, bending, stooping and the occasional light lifting of office items up to twenty (20) pounds in weight. Extremes in noise, temperature and pollutants are minimal. Frequent sustained operation of office equipment is required. Occasional attendance at after-hours meetings is a job requirement. SPECIAL REQUIREMENTS: Must possess a valid drivers license in the Commonwealth of Virginia.
