Job Summary The Administrative Assistant provides essential support to the Quality Department to ensure the smooth operation of quality assurance and control processes. They will also assist the Service Department with day-to day responsibilities. This role involves managing schedules, handling correspondence, and performing various administrative tasks to assist the team. Essential Functions
Provide administrative support to the Quality Sr. Director and his staff
Primary support to QA, Service and RA at all locations
Assist in creating and updating standardized forms, work instructions, SOPs (Standard Operating Procedures), and policies
Plan and schedule ongoing certifications, educational workshops, and compliance-related documentation
Book monthly and quarterly meetings
Prepare PowerPoint presentations
Travel Arrangements
Create and submit expense reports
Coordinate department lunches, functions and team building events
Support QA Compliance Dept with audits
Enter Purchase Requisitions
Submit invoices to Accounts Payable for payment
Maintain and order office supplies
Establish good rapport with outside vendors
Provide administrative support to the Service Sr. Admin
Perform special administrative projects as needed
Required/Preferred Education and Experience
High School Diploma
5+ years' experience as executive secretary, administrative assistant or equivalent required
Knowledge, Skills and Abilities
Proven experience as an Administrative Assistant or in a similar role
Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint)
Excellent time management skills and the ability to prioritize work
Strong organizational skills with attention to detail
Excellent written and verbal communication skills
Ability to work independently and as part of a team
