Robert Half Bilingual Spanish Administrative Assistant in Chelsea, Massachusetts

Description We are offering a short term contract employment opportunity for an Administrative Assistant in Chelsea, Massachusetts. This role primarily involves providing comprehensive administrative support in the property management industry. The successful candidate will be expected to assist with various tasks such as annual recertification interviews, work order follow-up, as well as managing and organizing office files.

Responsibilities:

• Provide support during Annual Recertification interviews and assist in assessing eligibility and collecting required information.

• Participate in filing and work order follow-up tasks, ensuring that all tasks are completed accurately and on time.

• Handle incoming calls and address property designated questions, providing prompt and appropriate responses.

• Communicate with applicants on the waitlist, conducting interviews with potential tenants.

• Ensure that necessary documents are organized and provided to applicants when they return their applications.

• Enter work orders into the system for tracking and follow-up.

• Responsible for data entry tasks including work orders and applications, using Microsoft Word and Excel.

• Engage in regular filing and scanning activities to maintain organized office records.

• Handle memos and email correspondence, ensuring effective communication within the team and with external stakeholders.

• Provide additional administrative support to the Property Manager as needed.

• Build and maintain relationships with vendors while processing maintenance work orders.

• Prepare communication materials such as letters and emails for residents. Requirements • Proven experience in an administrative assistant role or similar position.

• Strong customer service skills, with the ability to communicate effectively and build positive relationships.

• Familiarity with property management and related administrative tasks.

• Excellent organizational and multitasking abilities, with great attention to detail.

• Proficient in using standard office software and tools, including word processors, spreadsheets, and email.

• Ability to handle confidential information with discretion and integrity.

• Strong problem-solving skills, with the ability to make sound decisions independently.

• Excellent written and verbal communication skills.

• Ability to work effectively both independently and as part of a team.

• Strong time management skills, with the ability to prioritize tasks and meet deadlines.

• High school diploma or equivalent education; further training or qualifications in office administration or related fields would be a plus.
