Job Description

The Academic Assistant provides administrative support to the Office of Student & Academic Services and the Law School community. Key responsibilities include managing the front desk operations, including answering the office’s phone and emails, sharing policies and following up with students as needed. When required, the Assistant will work with staff in other offices to ensure students' questions get answered and connect students to resources at the Law School and across the University. In addition, they will help with scheduling events/interviews/meetings, updating the website, filing and pulling documentation as needed, and resolving problems related to the office as they arise. This position is responsible to hire, train, and supervise a Graduate Assistant (in collaboration with the Assistant Director). Additionally, the Assistant processes department invoices and expense reports into PS Financials. This position also works closely with over 30 student organizations, including event planning, budget tracking, and more.

Key essential functions include but are not limited to:

General phone/email support:

  • Answers general academic or administrative questions that come to the main Student & Academic Services inbox and/or in person from students

  • Answers office phone, follows up on voicemails, and connects students, as appropriate, to resources within the law school and university

  • Stays up to date on academic policies and procedures and answers related student questions

  • Facilitates the completion and filing of requested documents, including but not limited to; letters of good standing, 3:03 certification letters, bar certification forms, letters for permission to visit away, letters for permission to transfer

General administrative support

  • Helps with filing and retrieval of documentation as needed

  • Serves as general office manager related to the Student & Academic Services space, orders supplies, etc.

  • Manages the migration of paper files to the new electronic filing system and works with central IT/Administration to ensure this is completed

  • Serve as a collaborative team member of the office and the law school participating in projects, reports/analysis, new initiatives and programs, and school-wide programming. Support the needs of the Office of Student & Academic Services as assigned

  • Hire, train, and supervise a Graduate Assistant (in collaboration with the Assistant Director) to also support the aforementioned functions

Scheduling and supporting events

  • Manages event bookings for all student organizations, departmental event bookings, and other event needs as they arise

  • Works collaboratively with Law School’s Event Coordinator for larger campus events

  • Provides event support to the Assistant Dean of Diversity, Equity & Inclusion and the Director of Academic Success Programs as necessary

  • Advises student organizations on event planning and helps them coordinate with the necessary departments on campus

  • Assists with office programs and events such as orientation, commencement, registration advising sessions, wellness events, exam period, etc.

Financial Tracking

  • Coordinates Procurement Card requests for all student organizations and for the Law Student Association

  • Tracks student organization purchases. and ensures that all purchases fall within the school’s policies

  • Responsible for maintaining receipts, invoices, and reimbursement requests for all student organizations

  • Processes department invoices and expense reports, maintains budget tracking documents

The position reports to the Associate Director, Student & Academic Services.

Hiring Range: $23.46/hr to $29.34/hr. Pay rate commensurate with relevant experience.

Desired

  • A bachelor's degree is strongly preferred

  • One to two years of related experience is strongly preferred

  • An interest in law and international matters, and familiarity with at least one foreign language, are desirable but not required
