Sargent & Lundy Administrative Assistant - Engineering Support in Chicago, Illinois
Description
This position allows for a hybrid work schedule with a mix of work spent in the office three days a week and working remote from home two days a week.
Responsibilities will include, but are not limited to:
Administrator of internal applications.
Create/revise processes and flow diagrams in accordance with Sargent & Lundy's requirements.
Suggest improvements/enhancements to application and work with the Director of Engineering and IT to implement.
Annual Reporting – monitor completed reports, assist with issues, and file reports.
Create or revise training materials and curriculums for our learning tool.
Approve requests, open project numbers, and manage workforce in an internal application.
Organize meals and events as requested.
Coordinate truck rentals, trades, and returns. Request purchase and change orders for funding and communicate with insurance group on incidents and changes with trucks.
Site manager for safety intranet.
Issue forms for field assignment.
Manage and maintain key distribution groups and contacts for the team.
Serve as the focal point for administrative and documentation activities.
Provide real-time scheduling support by scheduling appointments/rooms and preventing conflicts utilizing Outlook.
Assist with time entry, prepare expense reports, and approve expense reports.
Qualifications

Essential skills and experience:
This position requires a high school diploma (or equivalent) and three years of administrative experience.
Proficient with Microsoft Word, Excel, Outlook, and PowerPoint.
Prior experience should include strong attention to detail and ability to complete large volumes of work efficiently and effectively.
Excellent communication skills (including writing and editing skills) and critical thinking.
Must be organized, motivated, and detail-oriented with excellent follow-through.
Be professional, reliable, maintain confidentiality, driven, and results oriented.
Candidate must be flexible, a team player, a self-starter, and be open to occasional overtime.
Valued but not required skills and experience:
Some college level education in fields such as English, Writing, or Business.
Experience working in the Engineering and/or power industry field.
