Robert Half Administrative Assistant in Chicago, Illinois

Description We are looking for a meticulous Administrative Assistant to join our client's team in CHICAGO, Illinois. This role revolves around managing and distributing information within the office, which includes answering phone calls, managing correspondence, and scheduling appointments. You will also handle the administrative aspects of vendor management and coordinate internal team organization items. This is a hybrid position.

Responsibilities: • Organize and prepare correspondence, memoranda, statements, narrative and statistical reports, billing reports, and other summaries. • Manage both department and individual calendars, scheduling internal and external appointments and meetings. • Coordinate and manage travel arrangements, including transportation and accommodations. • Prepare, submit, and reconcile expense reports. • Assist with administrative aspects of vendor management, including contract coordination, purchase order generation, and invoice submission. • Proofread and finalize documents for presentations, correspondence, and reports. • Manage internal files and documents in line with information governance guidelines. • Organize department and team meetings, including securing meeting spaces and amenities, taking meeting minutes, and distributing them as required. • Follow up on internal team organization items. • Assist in departmental and special projects as needed. Requirements • Proficient in Microsoft Office applications including Excel, PowerPoint, Word, and Outlook

• Experience in customer service, particularly in a detail oriented setting

• Capable of answering inbound calls and managing email correspondence professionally

• Comfortable with data entry tasks and able to maintain accuracy

• Ability to schedule appointments and manage calendars efficiently

• Strong written communication skills for composing correspondence

• Experience in coordinating travel arrangements for staff members

• Detail-oriented with strong proofreading capabilities

• Must be able to work in a team and collaborate effectively with diverse groups

• Ability to handle confidential information with discretion

• Strong organizational skills and ability to multitask effectively

• Excellent time management skills

• Proactive and able to take initiative when required

• Strong problem-solving and decision-making skills

• High-level of professionalism and strong work ethic

• Ability to work in a fast-paced, dynamic environment

• Demonstrates a high degree of adaptability and flexibility in a constantly changing environment.
