About the Department

The Office of College Admissions has a staff of over 40 people, most of whom are Admissions Counselors. They manage marketing to, and recruitment of, prospective students as well as the admissions process for first year and transfer students into The College, and summer programs for high school students. The Office of College Admissions is a forward-facing department often providing the first impression of UChicago to visitors in-person and virtually as well as telephonically and via email engagement. Of its several schools and departments, The College is the single-largest entity, and this office is responsible for bringing to campus a class of students with a diverse set of backgrounds who are prepared to take on rigorous academics while engaging with the University, surrounding neighborhood, and city of Chicago. http://www.collegeadmissions.uchicago.edu.

Job Summary

College Admissions manages dozens of events per year that include on campus programs like open houses, high school counselor and teacher workshops, conferences, and summer programs for high school students. Additionally, off campus programs include admitted student receptions, dinners, and UChicago presentations. The Event Manager plays a critical role in ensuring that all these programs and events are executed to the highest degree. The Event Manager will work closely with, and under the guidance of Admissions leadership, execute flagship events, and also serve as key supporter of other programs that may be managed by other admissions staff. The Event Manager will use their professional expertise and organizational skill to execute events that improve the brand and recognition of UChicago to diverse constituencies.

Responsibilities

  • Assists with the planning and execution (e.g., facility selection, menu planning, transportation arrangements, and audio/visual equipment) for organizational meetings and events including, but not limited to, open houses, admitted student receptions, teacher and counselor programs, conferences, dinners, and more.
  • Works with colleagues, campus partners, and alumni to assess event needs.
  • Works with other event staff members to implement ideas for improvements as they are identified.
  • Provides post-event feedback on turnout and vendor performance.
  • Collects and analyzes event data and outcomes to identify trends and opportunities and provides general office support as needed.
  • Sets up any A/V equipment.
  • Supervises and staffs events.
  • Executes day-to-day event logistics, and other moderately complex assignments with some guidance from others.
  • Assists with research, including vendor selection and contract negotiation. Keeps track of all expenses, and prepares reports on costs, using existing procedures to solve moderately complex problems as they arise.
  • Reviews and finalizes the guest lists, assists with mailing invitations and creates brochures for the event.
  • Works to implement ideas for improvement as they are identified in addition to providing post-event feedback on turnout and vendor performance with direction from others.
  • Performs other related work as needed.

Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.
