Robert Half Sr. Administrative Assistant in Chula Vista, California

Description We are offering a short-term contract employment opportunity for a Sr. Administrative Assistant in the Financial Services industry, located in Chula Vista, California. In this role, you will be expected to provide advanced administrative support, handle and manage correspondence, and maintain accurate records. Additionally, you will also be responsible for coordinating meetings and travel arrangements, tracking and maintaining documents, and assisting with facilities maintenance.

Responsibilities:

• Handle, route, and file correspondence, reports, and records, including those of a confidential nature.

• Coordinate schedules, meetings, and arrange travel for the Finance division.

• Assist in improving communication and efficiency by providing administrative support functions.

• Prepare and compose letters, memorandums, reports, and other materials as directed.

• Contribute to the team effort by maintaining established departmental policies and procedures.

• Monitor, track, and report on the safety status of the warehouse by conducting periodic inspections.

• Assist with the scheduling of third-party vendors for facilities maintenance.

• Conduct early morning facilities walk-throughs to ensure the building is in excellent condition before employees arrive for work.

• Serve as a backup to document all daily facilities work order requests in a management tracking system.

• Engage in special projects as assigned by Executives and Senior Management staff, such as transcriptions and translations, and assistance with the preparation of PowerPoint presentations. Requirements • Must have a minimum of 3 years experience in an administrative role within the financial services industry

• Proven expertise in Calendar Management is essential

• Strong Communication skills, both written and verbal, are required

• Experience in handling Conference Calls is necessary

• Proficiency in Microsoft Office Suite and other common office software

• Ability to multi-task and prioritize work in a fast-paced environment

• Excellent organizational skills and attention to detail

• Must have a proactive approach to problem-solving with strong decision-making skills

• Ability to maintain confidentiality and handle sensitive information with discretion

• Demonstrated ability to work effectively both independently and as part of a team.
