Job Summary

Responsible for providing analytical and operational support for the AEP Foundation and the Office of Community Engagement. In partnership with the Community Engagement Senior Manager, prepares information for the review and recommendation process for contribution programs and grant proposals.

Responsible for conducting community-based research on giving priorities. Determines and integrates grant-making best practices and industry trends. In addition, oversees the day-to-day support of philanthropic partnerships and community programs across the AEP footprint.

Job Description

Essential Job Functions:

35% Manage grants and contributions workflow:

  • Prepare all documentation necessary for an accurate and smooth process through a grant-making cycle from entry to completion. Grants types include board directed, community responsive, donor-advised, affiliated funds, committee-advised and designated grant-making.

  • Coordinate workflow of grant and sponsorship recommendations, within specific deadlines, through a review and approval process and ensure accurate data, coding and quality documents.

  • Build strong partnerships with internal stakeholders to facilitate grants process, including team members from external affairs, communications, legal, finance, and audit.

  • Monitor intake of grant and sponsorship inquiries and applications to provide detailed information and reports on the stages of submission.

  • Coordinate all grant-making activities to ensure compliance with IRS and foundation-specific regulations.

  • Monitor post-grant activities and requirements including acceptance, reporting, modifications and closing.

  • Create and maintain database records for grants, individuals and organizations, and grant-making calendars.

  • Ensure grants and contributions process is efficient to expedite payments while ensuring compliance. Facilitate payments.

20% Manage process improvements:

  • Be committed to continuous improvement in grant making process to better utilize technology, outside partners, and streamline steps.

  • Serve as SME for community engagement CRM and related databases to ensure integration; work with CRM suppliers to maximize utilization of products.

  • Develop and conduct trainings for internal and external audiences.

  • Document grant-making procedures.

15% Provide applicant and grantee customer service:

  • Respond to grant-related questions and issues for external stakeholders in a timely manner.

  • Provide support to applicants on submissions and with any technical issues.

15% Lead data analysis:

  • Serve as SME for extracting data from various sources, including CRM to inform decision making.

  • Ensure grant process collects data to be used for compelling impact storytelling.

5% Support AEP Foundation Board

  • Prepare and produce docket and voting materials for grant-making committees and Board.

  • Assist with meeting preparation.

5% Special Projects

  • Undertake other duties as assigned.

5% Represent AEP and the DEI & Community Engagement teams at community events.

Minimum Requirements:

Education: Bachelor’s degree required in business, public administration, nonprofit management, or related field.

Experience : Three (3) or more years of experience in database management or relevant work experience.

Other Requirements:

  • Embodies and role models our values and actively helps shape a healthy culture.

  • Demonstrated ability to work with Microsoft Word, Excel, PowerPoint and Outlook.

  • Familiarity with database programs and applications. Prefer CRM experience, especially with Blackbaud.

  • Strong verbal and written communication skills.

  • Strong project management skills.

  • Ability to work well in a fast-pace, deadline-driven environment with a sense of urgency.

  • Excellent time management and organizational skills in order to meet deadlines.

  • Strong attention to detail with proven problem-solving skills.

  • Experience working with a diverse group of individuals internal and external to an organization.

  • Ability to respond sensitively and patiently to internal and external stakeholder inquiries in a timely manner.

  • Demonstrated ability to work both independently and in a collaborative team environment.

  • Availability to work some nights and weekends.

Compensation Range:

$70,961.00-88,700.50 USD
