ALCOHOL AND DRUG ABUSE SERVICES INC Clerk Typist II - Coudersport & Emporium, Pa in Coudersport, Pennsylvania

DUTIES:

  • Types correspondences, reports, contracts, and other tasks assigned to ensure typed information is grammatically correct, complete, consistent, and adheres to agency rules and regulations.
  • Provides receptionist duties such as transferring calls to the proper party, taking complete and accurate messages, greeting clients, scheduling client appointments, and collecting and recording client payments, and also maintain petty cash and gift cards for accuracy in both the Coudersport and Emporium offices.
  • Provides an adequate supply of forms and supplies pertinent to the office operation.
  • Prepares monthly activation and discharge reports as well as monthly client surveys.
  • Provides clerical coverage at other locations, as needed.
  • Confirm interoffice mail/U.S. mail gets delivered/transported to other locations.
  • Utilizes and maintains office equipment such as postage machines, fax machine, and copier in both offices.
  • Maintains and calculates monthly time sheets for all staff in the Coudersport and Emporium offices.
  • Assists interview processes to include greeting applicants, explaining salary, benefits and job description and collecting all pertinent information including application, references, etc. Participate in Zoom meeting to determine best applicant.
  • Type, correspondences, reports, contracts, and other tasks assigned to ensure typed information is grammatically correct, complete, consistent, and adheres to agency rules and regulations.
  • Enter prevention tracking sheets into PA Reporting System (WITS) to ensure accurate reporting. Communicate with Program Manager to determine appropriate data entry and recoding of services. Communication with prevention specialists to collect and assist with accuracy of information.
  • Collect pre/posttest for Too Good for Drugs and other programs. Scan and create reports based on tests and surveys.
  • Share with prevention staff and Program Manager.
  • Assist with Student Assistance Program meeting and assessment data collection. Compile reports for Program Manager to enter into the PNSAS reporting system.
  • Assist Prevention Specialists with compiling, organizing and scheduling First Time Offender (FTO) groups. Create FTO letters for clients, records and probation.
  • Collect Tobacco Intakes, organize and enter intakes into Sunstrata Reporting System. Report groups to Program Manager for billing purposes.
  • Assist Prevention Department with organizing, inventory and purchasing materials.
  • Performs related work as required.

REQUIREMENTS:

  • ·Knowledge of English grammar, spelling, and punctuation at a level equivalent to that used in writing or adjusting written materials normally consisting of simple sentence structures, one and two syllable words, and punctuation marks for word, number, and sentence separation.
  • Knowledge of the required care and maintenance of a computer.
  • Knowledge with Microsoft Office, Word, Excel, and Outlook programs.
  • Knowledge of standard office procedures, practices, conduct, and actions necessary in maintaining harmonious working relationships.
  • Ability to understand and follow oral and written instructions which explains multifaceted procedures.
  • Ability to proofread information for conformance with a prescribed pattern or form, to assure the adherence to clerical office methods, or for compliance with specific administrative or procedural rules.
  • Ability to transfer information and present it in a modified form according to rules and procedures.
  • Ability to collect and organize material for reports by determining what available information should be included and presenting the information in a prescribed, organized format.
  • Ability to compose straightforward informational correspondence such as transmittals or acknowledgements in reply to requests or questions on the work process or related information.
  • Ability to perform basic arithmetic cal ulations such as the adding and subtracting of whole numbers and decimals; and multiplying and dividing by one digit whole number or decimal multipliers and divisors.
  • Ability to organize work and develop effective work method as in an area which involves variable phases of different techniques and procedures.
  • Ability to make duty oriented decisions on the basis of well-defined standards and precedents.
  • Ability to operate office and mail processing machines such as the adding machine, photocopier, computer, postage meter, and instruct other of their use.

MINIMUM EXPERIENCE AND TRAINING:

Six months as a Clerk/Typist I and educational development to the level of eighth grade; or completion of a high school business curriculum; or any equivalent experience and training which provided the required knowledge, skills and abilities.
