SUMMARY OF PRIMARY FUNCTION Under the direction of the Data Systems Specialist and Health Services Manager, and in line with Tri-Valley s philosophy, mission and goals, the Data Support Assistant s primary responsibility is to facilitate the smooth operation of the Head Start Program, which includes data entry, basic office and clerical duties. This position promotes a positive, respectful workplace culture and professionally represents Head Start at all times. This position must maintain confidentiality of all information encountered, continuously multi-task, work well under pressure, and prioritize duties to accommodate changing needs. Helps recruit potential parents by providing information to them about the various program services and benefits offered to enrolled children and families. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Communication Communicates on a regular basis with staff and accommodates their requests. Contacts the Data Systems Specialist for guidance and task related questions. Contacts the Health Services Manager or Specialist at the administrative office for guidance and task related questions. Health File Management Scanning, naming, coding, and uploading Child Health documents into selected data system starting with the oldest documents first. Identify health documents in need of scanning. Ensure file storage area is locked at all times. Ensure health files are secure at all times. Ensure documents are purged after verifying they are secure in the data storage system. Ensure hard copies of health files are stored for 8 years. Conduct audits to ensure data and documents are stored correctly. Data Entry and Support Develops and maintains effective data entry procedures for non-federal share. Audits data accuracy to prevent inaccurate reporting. Creates and maintains non-federal share reports, verifies the accuracy of the information on reports, and relays information to agency auditors. Assists in providing training and technical assistance to staff regarding non-federal share. Upload orientation and training documents into Develop. Health Services Billing Invoice Medical Assistance (MA) and contracted Insurance Providers for direct health services provided. Collaborates with Health Services Manager to modify and establish additional insurance provider contracts as appropriate. Effectively monitors reimbursements. Provides billing and reimbursement reports to the Health Services Manager on a monthly basis, communicates concerns and questions in a timely manner. Attends appropriate ongoing State MA billing training, ensuring up to date coding and requirements for continued provider status. Ensures documentation is kept confidential and up to date. Support Systems Acts as Receptionist/Switchboard Operator for the Head Start line. Assists in covering the front desk at the Administrative Office as requested. Assists and supports the Head Start Child & Family Programs as requested. Safety Have or obtain within 30 days of hire a First Aid and CPR Certification as well as maintain the certification during employment.
