CityVet Operations Support Specialist (Arista) in Dallas, United States
Arista Advanced Pet Care, a new business division specializing in Veterinary Specialty & Emergency hospitals, is seeking an Operations Support Specialist to play a pivotal role in our early-stage company. Leveraging over 25 years of experience, we are building a new model of seamlessly integrated advanced pet care. The Operations Support Specialist will be instrumental in adapting, developing, and overseeing systems and processes implementation. This role entails collaborating cross-functionally with established departments to ensure effective development, training, implementation, and ongoing support for each Arista hospital. This is a unique opportunity for an energetic and experienced person with systems and program management experience to be a key part of building a new model of seamlessly integrated advanced pet care.
RESPONSIBILITIES & DUTIES
Learn existing and planned systems within the business, including practice management and program management software, learning platforms, and data reporting platform.
Customize and implement efficient workflows within Instinct PIMS system, prioritizing seamless patient care delivery and providing continuous training and support for hospital teams.
Integrate and develop operational and reporting tools within our proprietary portal for Arista hospitals, covering areas including financial dashboards, scheduling, pricing, DVM productivity, client and team satisfaction, and patient outcomes.
Lead the development of future playbooks and oversee progress tracking for de novo projects.
Evaluate and implement innovative technological solutions to enhance operational efficiency, such as ambient AI medical record transcription.
Collaborate with IT teams to ensure smooth system integration with user-friendly interfaces for hospital teams.
Assist in building and executing specific brand operational policies and procedures as required.
Oversee on-site training for new locations, ensuring comprehensive onboarding processes and providing ongoing remote support as needed.
Develop, implement, and maintain Arista-specific Litmos (LMS) content, auditing training needs of new and current employees.
Participate in leadership and home office training directed by the human resource and Arista leadership teams.
Create, maintain, and deliver "Train the Trainer" programs and program guides for field implementation of new processes and procedures.
Collaborate with vendors and suppliers to monitor service levels and ensure cost-effectiveness.
Utilize data analysis to identify trends, opportunities, and areas for improvement.
Develop and implement contingency plans and crisis management protocols in collaboration with relevant stakeholders.
Foster a culture of continuous improvement by staying informed about industry trends and best practices, adapting and innovating solutions to enhance patient care and hospital efficiency.
Foster a culture of active listening by consistently incorporating feedback from quarterly happiness surveys to drive continuous improvement initiatives.
QUALIFICATIONS & SKILLS
Bachelor’s degree in business administration, Operations Management, and/or 5+ years relevant experience
Operational experience in Veterinary Specialty & Emergency industry preferred.
Experience with using and administering PIMS systems in Veterinary Specialty and Emergency hospitals (specifically Instinct), preferred.
Extremely organized and self-motivated with project management skills
Excellent analytical and problem-solving abilities.
Effective communication and interpersonal skills.
Knowledge of relevant industry regulations and best practices.
Proficiency in using technology to enhance operations
