Good news! 1WorldSync is looking for an Office & Billing Assistant to join our team at our Dayton, Ohio location. 1WorldSync is the industry leader in product content management. With approximately 600 employees across the US, Brazil, Canada, France, Germany, Portugal, Switzerland, and the UK, we're seeking an Office & Billing Assistant to support our growing global team. Reporting directly to our Controller of Finance, the Office & Billing Assistant will provide essential support to our growing Dayton office. This role will become familiar with a variety of different systems such as NetSuite, Microsoft Excel, Google Workspace, and a variety of other systems. We are looking for someone who is an initiative-taker in finding solutions for everyday problems. The Office & Billing Assistant will assist the Finance team with payment processing and applications as well as responding to customer invoice requests. As an Office & Billing Assistant at 1WorldSync, responsibilities include the following: Present a welcoming first contact to all clients, vendors, staff, etc. by phone, in person, and email Provide general meeting support including arranging, bookings/reservations, maintaining office space schedules, and securing food & supplies Oversee incoming and outgoing mail/packages,and provide shipping and receiving support Observe and report maintenance concerns in common spaces for appearance and functionality Track office and personal protective equipment (PPE) supplies, and place additional orders as needed Assist with mailings, meeting support, and catering as needed Assist with planning and executing social events in the Dayton Office Print and provide itemized statements, bills, invoices, and other necessary billing documents, as requested by customer Use daily incoming cash reports from the bank to enter and apply payment, and reconcile deposits daily Collect and sort all invoice, credit, bill, and order statements Process credit card payments received via phone or email Contact customers to obtain, verify, and update account information when necessary Performs other related duties, as assigned Required Skills and Experience: High school diploma or GED. Associates degree preferred. Desired Skills and Experience: Excellent written and verbal communication skills Excellent organizational and time management skills Ability to troubleshoot and problem solve Proficient in Microsoft Office Suite and Google Workspace A proactive, helpful, can-do attitude. A proven ability to effectively multitask. Prior experience working in a flexible dynamic work environment. Neat, organized, able to work independently and interdependently, welcoming to the public. Ability to respect budget specifications, honor expense systems and policies.
