OFFICE MANAGER RESPONSIBILITIES: * Oversee the reception area, ensuring efficient operations, including phone management, visitor greeting, and enforcement of sign-in protocols. * Manage the handling of incoming and outgoing correspondence, including mail and packages, while ensuring timely and efficient processing and delivery. * Responsible for managing and overseeing the administration of office keys, access cards, and building security protocols. * Manage procurement for office supplies, equipment, and business cards for staff. * Plan, coordinate, and oversee the preparation of meeting spaces for Divisional staff, ensuring all logistics and arrangements are met for both internal and guest needs. * Oversee scheduling and booking of conference rooms, providing leadership with coordinating and troubleshooting technical setup for meetings and events. * Manage the maintenance of electronic filing systems and records, ensuring compliance with legal and corporate requirements for document retention. * Serve as the primary liaison with building management, proactively addressing any maintenance or facility-related concerns. * Maintain and update corporate phone and contact lists, ensuring the accuracy and security of all organizational information. * Coordinate the procurement of flowers for employee life events. * Manage the creation and distribution of contractor badges, area signage, and ensure compliance with security policies. MARKETING/COMMUNITY RELATIONS RESPONSIBILITIES: * Oversee the development and implementation of content strategies across various social media platforms to engage target audiences. * Lead and manage the planning, coordinating, and executing all company events. * Support marketing endeavors by managing media subscriptions and distributing significant articles. * Develop and produce a wide range of materials, such as brochures, newsletters, and PowerPoint presentations, tailored to diverse audiences. * Create and strategize content across multiple channels (email, websites, publications, and social media) targeting specific audiences, including potential clients, the general public, DoD entities, and internal stakeholders. * Provide planning and strategy support for Defense tradeshows, managing the company's participation and exhibition presence each year. * Oversee the ordering, organization, and distribution of company merchandise, including swag for employees and at job fairs, ensuring brand consistency. * Offer administrative support during the proposal process, ensuring all materials are aligned with company objectives and customer expectations.
