PURPOSE AND SCOPE

 

To enter all installation parts orders and invoicing within the assigned area, ensuring that both are processed in an efficient, accurate, and timely manner within Arbon standards.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:

 

Retrieve orders from the order log, reviews for accuracy and completeness following established standards, and enters orders if acceptable. If not, works with person entering order to get required information.

Create work orders for parts needed and parts only jobs this includes both Rite Hite and allied parts as required for the product installation jobs.

Track orders in process from entry through invoicing ensuring work orders are updated as needed.

Send purchase orders to allied vendors as required including preparation for purchasers if needed. Work with allied vendors regard shipment dates and associated invoices. Review allied vendor invoices accuracy, update in order as required in processing.

Communicate with service coordinators and or salespeople regarding orders, missing POs from customers, available dates from Rite Hite and allied vendors. This includes attachment of PDF copies of order transmittals to work orders.

Thoroughly review orders for accuracy in relation to customer purchase order, flash messages and Arbon policy

Calculate actual labor apply all cost jobs and invoice order.

Add freight cost to work orders as needed.

Monitors work orders for those ready to invoice, reviews work order information for accuracy and completeness, generates invoice and delivers invoice to customer per their requirements.

Process web billing and credit card as required.

Attempt to attain missing PO's from customers before passing task on to district installation coordinator or salesperson

Run gross profit summary for each invoice job, making adjustments to work orders as needed, flag low or negative margin jobs for managerial review.

Backs up other installation administrators and installation coordinators as needed assist accounts receivable specialists as needed in the collections process.

Other administrative duties may be assigned.

 

EDUCATION and/or EXPERIENCE

The successful individual will possess:

 

A high school diploma or GED.

Prior similar experience is preferred.
