To regulate the development and production of oil and gas, deep geothermal resources, the capture and sequestration of carbon, and the underground storage of natural gas in a manner that protects public health, safety, welfare, the environment and wildlife resources.
Description of Job
POSITION SUMMARY:
This TEMPORARY position exists to work with the Strategic Development Unit Manager to support the Manager Team and to provide technical, logistical and administrative support to manage meetings, travel and outside engagement events on behalf of the Management team as well as providing administrative support to ECMC staff.
Duties include but are not limited to:
Calendaring meetings including interviews and necessary external meetings
Plannings and coordinating internal and external meetings on behalf of Managers including yearly external training, staff meetings and external meetings as required, including with Zoom and other video conferencing software and manage conference room booking -NOT hearings
Preparing agendas
Submitting Official Function approvals
Creating and distributing presentation materials
Communicating with staff and external stakeholders
Travel planning and coordinating logistics for Managers and staff
Purchasing conference registration
Securing Out of State Travel Approvals when necessary
Making the hotel reservations and working with hotel staff to arrange for payment
Purchasing flights
Other travel logistics as necessary
Special projects as assigned and needed by managers or the manager unit
Specific Duties may include:
Assisting with employment tasks
Ordering supplies for new employees
Assisting with onboarding new employees
Assisting with employee offboarding
Assisting with office management
Making purchases for the office
Assisting with office space planning and inventory
Assisting with staff incentive and award programs
Creating calendar events and assisting with calendar management for hotel offices/conference rooms
Assisting with meeting administration
Running Zoom meetings
Gathering topics and preparing agendas for meetings
Creates and distributes meeting materials to attendees
Assisting with logistics for off site meetings including securing space and approvals
Hybrid work with onsite presence required for various events
Responding to internal and external stakeholder questions
Travel support
Preparing Travel Reimbursements for Managers, Supervisors, and staff
Assist ing with logistics for off-site meetings , including booking venues, hotels, rental cars, and submitting approvals
General clerical work that is time sensitive
Scanning documents
Other duties as assigned
