Essential functions (job duties):
Job Purpose:
Manages programs and projects for Emergency Medicine, Clinical Research, Community and Public Health, Medical Toxicology, Ultrasound and Global Health. Develops related proposals, analyzes services and resources and serves as a unit representative and liaison interfacing with key internal and external contacts. Manages multiple concurrently operating programs and projects. Reports to department Chair.
Essential Functions:
Manages and provides oversight for a large number of projects within Emergency Medicine which include but are not limited to event planning, fellowship candidate selection, fellowship accreditation, Community and Public Health and Global Health program support, website development and oversight, National Institutes of Health network project submissions, clinical research contract development and negotiations, etc.
Effectively manages project scope by ensuring changes to scope are documented and approved. Ensures work orders are tracked and completed within the budget guidelines. Ensures adherence to project budget and timeline by anticipating challenges and adapting plans accordingly. Participates in program or project management research initiatives; Interfaces with administrative personnel in determining program/project resource utilization, equipment and service capabilities, and policy and procedural changes.
Develops funding proposals to support projects/programs and monitor associated costs. Analyzes resource utilization, evaluates equipment and services, and recommends policy and procedural changes as they impact specific programs and/or projects.
Prepares annual reports and quarterly newsletters. Coordinates contributing authors, arranges layout (color, design), printing, editing and maintains and updates distribution lists (for both mail and email).
Plans and coordinates continuous and ongoing state, local and national conferences to educate and publicize the department’s efforts. Handles conference advertising, registration, meeting space, speakers, travel, finances, and evaluation of the value added for each conference. Implements changes and improvements for future events. Coordinates regional and national meetings and receptions at major national societies of Emergency Medicine.
Prepares and develops detailed statistical and administrative reports regarding program/project status. Interacts with department staff and outside professionals in the coordination of specific tasks or aspects of various projects. Assists in the development of program/project materials and related informational or publicity pieces. Participates in individual and group presentations.
Oversees clinical trial contract management, including budget projection and expense management. Forecasts expenditures and revenues to project funding requirements needed for efficient allocation of resources. Reviews budget forms and documents to ensure adherence to established budget procedures and requirements as well as granting agency guidelines and regulations.
Manages faculty academic processes, including promotion and tenure, faculty activity reporting logs, and the American Association of University Professors Selective Salary and Annual Faculty review programs in a timely and accurate manner. Provides support to faculty for interface with SmartPath.
Provides key consultative analysis and advice to management staff; reviews equipment requests utilizing cost/benefit analysis methods as well as the evaluation of contractual agreements. Determines inventory and equipment needs. Coordinates purchasing activities, evaluates needs, sources vendors and acts as liaison for the department faculty and staff.
Serves as a resource to and liaison with department administrators, principal investigators and outside vendors with regard to budget management, university policies and procedures. Acts as department liaison with CI&T for all computer hardware and software issues. Oversees and monitors regular facility maintenance and repair. Keeps abreast of technical and administrative improvements and integrates them in specific operational activities, services and mission of area. Serves as technical resource and responds to inquiries necessitating problem resolution techniques

Qualifications:
Education: Bachelor's degree
Requires a Bachelor’s degree in Business, Public Administration, Education or a related field from an accredited college or university. A Master’s degree is preferred. Candidates with an equivalent combination of education and experience may be considered.
Experience: Intermediate (3 to 4 years job-related experience)
Three or more years experience with project/program management, preferably in an Academic Medical Center.
Knowledge, Skills and Abilities:
Knowledge of graduate medical education and/or operational activities of an assigned area, e.g., computing technology, research funding, government regulations.
Knowledge of University policies and procedures.
Effective interpersonal and customer service skills. Strong oral and written communications skills.
Ability to compare, contrast and quality check work with close attention to detail.
Strong analytical skills including critical thinking and problem solving skills.
Proficient in the use of Microsoft Office and use of the internet in a business setting.
Working knowledge of web design.
Ability to complete special projects with little or no supervision/oversight.
Ability to meet deadlines.
Ability to work independently and without formal instruction.
