Job Summary

The Senior Executive Assistant will provide administrative support to a Chief Officer. Flexibility, a sense of urgency, attention to detail, and the ability to manage information at the highest level of confidentiality, are critical success factors for this position. This Senior Executive Assistant position requires high-level administrative expertise with a willingness to pitch in and do what's needed in a dynamic and fast-paced environment.

Responsibilities

  • Intake and organize a high volume of internal and external communication which includes mail, email, and voicemail; identify priority communications, immediately alerting leader as necessary

  • Manage email by drafting responses on the leader’s behalf, clearing out unnecessary messages and distributing them to other team members as necessary

  • Create organization processes in order to make each day smooth and efficient

  • Coordinate logistics and prepare materials for meetings, calls, and events

  • Schedule and manage calendars

  • Prioritize meeting requests, working proactively to identify and mitigate schedule conflicts

  • Make personal and business travel arrangements, including the creation of itineraries, air and hotel accommodations

  • Prepare monthly credit card statements for the corporate card and facilitate expense report approval from leadership

  • Facilitate the accounting process by requesting purchase orders and trafficking invoices

  • Additional personal tasks as needed to support daily efficiency, such as gift pickup, meal coordination, etc.

  • Other duties as assigned

Qualifications

  • 4-year degree or equivalent education, training, and experience

  • Minimum 5 years experience in a executive assistant style role, preferably supporting C-Suite or executive leadership positions

  • Comfortable working fully on site in our offices in Downtown Detroit (parking is provided to our team members)

  • Excellent listening, organizational, and communication skills

  • Ability to anticipate tasks and how to do them

  • Ability to maintain confidentiality

  • Self-motivator who can work with minimal instructions/supervision at all times

  • Enjoys administrative work

  • Ability to efficiently plan, organize, and implement work priorities

  • Self-confidence, sensitivity, a cooperative attitude, tact

  • Draft and edit correspondence with precision

  • Advanced skills in Word, Excel, and PowerPoint

  • Works well under pressure

  • Flexible schedule; occasional late/early hours as needed
