Role Objective

This position reports to Order Management Lead in Technical Operationss and is responsible for all aspects of the Order to Cash process for Takeda Pharmaceuticals Ireland Ltd (SPIL) to ensure on time, in full and defect free deliveries to customers, through the optimum utilization of internal and external logistics partners and in full compliance with SOX regulation, commercial policies and company guidelines.

More specifically, this position coordinate, execute and monitor progress of customer deliveries, from incoming orders received through regional supply chain and customer service to final billing and revenue recognition. The incumbent ensure that SAP transactions are correctly performed in timely manner, process order adjustments, resolve discrepancies, escalate issues for resolution and generate regular reporting for accurate billing.

This position also acts as a critical interface between Supply Chain, Corporate Services and finance team to ensure compliance in all aspects of order management activities. The incumbent directly supports internal and external audits and acts as a central point of contact for all queries relating to Order Management reporting (revenue samples, PGI/POD tracking, Order reviews…)

Accountabilities include, but are not limited to:

Order Management Execution:

  • Process complex international customer orders of high-value pharmaceutical products in highly regulated environment via direct interactions with regional supply chain and customer service teams, in full compliance with company policies, laws and regulations

  • Order entry and assessment

  • Issuing of packing list, invoice, loading list and CMR,

  • Document collection (such as Certificate of Origin ; Certificate of Analysis, import-licenses, documents to Chamber of Commerce and Embassies for legalization, Letter of Credit details)

  • Ordering of transport with forwarders;

  • Forwarding of documents and pre-alert

  • Filing of complete export documentation

  • Delivery Management

  • PGI activity; POD Validation

  • Final Billing

  • Issuing of credit- or debit-notes

  • Acts as liaison between all functions for the entire life of the order

Transportation:

  • Coordinate Transport planning jointly with Planning team (shipping date, costs, method according to distribution qualification) and issue shipping plans to ensure adequate inventory levels at the customers. Work closely with multiple Contract Manufacturing Organizations (CMO’s) to warrant flawless execution of the shipments

  • Tracks shipments to ensure on time and complete order deliveries to customer sites using ERP system and various transportation carrier websites. Perform regular controls and expedite deliveries where applicable to ensure accurate revenue recognition for legal entities directly controlled by SPIL (such as, but not limited to, DHL, Almac, Alloga, Wasdell, Pharma Logistics, Clinigen…)

  • Perform troubleshoot on critical sales orders, assist with invoices and billing tasks including working directly with global finance, corporate service, IT and master data team to solve any issues that arise.

Order Management Reporting and Controls:

  • Report and Control order processing from OMT on all aspects of Order-to-Cash to ensure appropriate revenue recognition and month-end close reporting

  • Evaluate daily/weekly/monthly SAP entries and pending orders

  • Control order deliveries, POD collections and revenue recognition

  • Analyze discrepancies and resolve all outstanding issues

  • Contribute to Large Order Tracking Reporting

Perform Month-end Close Activities:

  • Act as central point of contact for SPIL Controls & Audit activities (Revenue recognition Samples, POD and Order review, etc)

  • Act as Super User for SAP Order Management flow; Perform regular master data controls and support new SAP setup flows; Control and support maintenance of master data for Intercompany and 3rd Party (Ship to customer creation, Bone Fide Collection, customer profile details with Regional Supply Chain…)

  • Ensure compliance to all company and business policies

Order Management Continuous Improvement:

  • Evaluate metrics and implement reporting to provide accurate weekly and monthly reporting for all SAP orders. Lead continuous improvement initiatives on order management processes in collaboration with Supply Chain, Corporate Service and Finance

  • Support TrackWise Event Management

  • Contribute to Takeda Transportation performance by collecting KPI metrics on supply chain operation, measure the performance of the shipments and set corrective actions.

Education & Experience Requirements

  • Bachelor Degree in Business, Finance, Supply Chain or related field

  • Experience in global end-to end Order Management, with focus on customer management.

  • Experience working with an ERP system with ability to reconcile data between multiple systems

  • Experience working in Pharmaceutical or highly regulated and compliance industry, cold chain temperature-controlled products is desired..

  • Experience in accounting is desired
